[4]
- Welcome to Microsoft Teams for IT Essentials.
[7]
In the next few minutes I'll walk you through
[9]
Microsoft Teams Rooms,
[10]
a solution that combines the digital workspace
[12]
of Microsoft Teams with dedicated Microsoft
[15]
certified devices for rich audio and video
[18]
to enable first class meeting experiences
[21]
whether you're joining remotely or from in the room.
[24]
Now, I'll show you some options based on how people
[26]
collaborate in your meeting spaces
[28]
and the size of your rooms and also cover the key steps
[31]
to set up a Teams Room for your organization
[34]
with the security and enterprise management
[36]
that you would expect from Microsoft.
[38]
Now, so what makes Microsoft Teams Rooms
[40]
a compelling solution for today's work environment?
[43]
A Teams Room is designed to give all meeting participants
[46]
an inclusive and reliable experience.
[48]
Cameras can frame the room and zoom into the active speaker.
[52]
And audio devices are designed to ensure
[54]
that people's voices are clear and intelligible.
[57]
Now wherever you're joining from,
[58]
you can raise your hand to indicate you'd like to speak
[61]
or follow along with real time AI enabled live captions.
[65]
And with the trend for remote work accelerating over
[68]
the years, we've made video core to the meeting experience.
[71]
Which we've all recently learned first hand
[74]
is vital for human connection and inclusivity.
[77]
Now that said, ironically only a small percentage
[80]
of meeting rooms are equipped with audio/visual capabilities
[84]
and as flexible working becomes the new normal,
[86]
now more than ever it's important to make sure that
[89]
the meeting collaboration experience doesn't suffer
[92]
while some of us join from the office and others remotely.
[95]
Now, Microsoft Teams Rooms provide
[97]
a rich immersive experience with powerful
[99]
audio/visual capabilities wherever you are.
[102]
If you're in a Microsoft Teams Room,
[104]
you can instantly start the meeting with proximity join.
[107]
Your PC or phone can automatically detect
[109]
that you're in a Microsoft Teams Room and defaults
[112]
to room audio while disabling your local device audio.
[115]
All you have to do is tap join now on your own device
[118]
and alternatively you can join directly
[120]
from the in-room console.
[122]
Now as the meeting starts,
[123]
video and audio are enabled automatically
[126]
and meeting participants can join from anywhere.
[129]
If participants join from the room they're placed
[131]
in content-only mode with their speakers
[133]
and microphones placed on mute,
[136]
allowing the room to provide audio and video
[138]
without echo and feedback, which is great for both those
[141]
present in the room and those joining online.
[144]
As in-person presenter, the central console gives
[146]
you full control over the meeting.
[148]
It's easy to add colleagues joining remotely.
[150]
And as a presenter you can also mute attendee microphones.
[154]
You can also place focus on a specific person in the meeting
[158]
by pinning their video feed in full screen.
[160]
If you're joining remotely,
[161]
you have all the controls available in Microsoft Teams
[165]
with the ability to add other participants,
[167]
share content and more.
[168]
Using their device as a companion,
[170]
presenters can easily and securely share content
[172]
into the meeting via Microsoft Teams.
[175]
Additionally, if you're white boarding
[177]
on an analog white board in the room,
[179]
a content camera can intelligently find, crop,
[182]
and zoom in on content, allowing remote participants
[185]
to feel immediately included.
[187]
Even if someone walks in front of the whiteboard,
[189]
remote participants will continue to see right through them.
[192]
Now beyond transforming physical analog whiteboards
[194]
when the Microsoft Teams Room is part of a meeting,
[197]
it can also take advantage of the Microsoft Whiteboard app.
[200]
Now this transforms touch and ink displays in the room
[203]
into a virtual canvas allowing people both in the room
[207]
and attending remotely on their devices
[209]
to whiteboard together.
[211]
Now, if you have dual displays in the room,
[212]
you can share participant video feeds on one screen
[215]
and content on the next.
[217]
To set up a Microsoft Teams Room meeting
[218]
as a meeting organizer, you just need to invite
[220]
that specific room from your directory
[222]
and more on that in a moment.
[224]
Equally if you're in a Microsoft Teams Room
[226]
you can easily create a meeting on the fly
[229]
and add participants directly from the console.
[232]
Now these are just a few of the core experiences
[233]
that Microsoft Teams Rooms provide.
[236]
We have a rich set of device choices to get the right
[239]
experience for your space and how you plan to use it.
[243]
Microsoft works with several hardware partners
[245]
to provide audio/visual hardware.
[247]
And these devices are tested by independent
[249]
third-party labs for the highest quality and certified
[252]
by Microsoft for the Teams Room experience.
[255]
You can find a configuration from our certified hardware
[258]
partners that meets your space and budget needs
[261]
at aka.ms/TeamsDevices.
[264]
And once you have assessed your employee and space needs
[267]
and purchased your chosen hardware,
[269]
it's time to install your equipment,
[271]
including your speakers, camera, console and microphones.
[275]
You'll also need to set up a resource account
[277]
and this is easily done by adding the room
[278]
to your Microsoft 365 environment
[281]
and assigning it a license.
[283]
Now this allows people then to find the room
[285]
in your company directory when they're scheduling a meeting.
[288]
Then once you install your hardware
[290]
you'll go through a first run experience
[292]
where you enter your resource credentials.
[295]
And note for security reasons we lock down
[297]
the device console to prohibit users from installing
[299]
or running software other than
[301]
the Microsoft Teams experience.
[304]
As a Windows 10 device, antivirus is built in and by default
[308]
the console receives automatic updates in the background.
[311]
Within the Teams Admin Center, you can monitor the health
[314]
of your Teams Rooms and proactively manage your devices.
[318]
Now, for example from this unified experience you can apply
[321]
specific Teams Room settings like not displaying
[324]
meeting titles on the console for confidentiality.
[327]
And you can also monitor performance
[329]
through call quality diagnostics and more.
[332]
Alternatively you can leverage partner support
[334]
to help manage your rooms by delegated administrative access
[337]
to your devices in the Microsoft Teams Admin Center.
[340]
And Microsoft offers a service
[342]
called Microsoft Managed Rooms.
[344]
Where Microsoft manages your meeting room
[345]
infrastructure on your behalf.
[348]
We'll go deeper on the configuration
[349]
and management experience from Microsoft Teams Rooms
[352]
in the next episode of our series.
[354]
So that was a quick introduction to Microsoft Teams Rooms
[357]
which not only simplifies your meeting experience
[359]
but provides an integrated meeting solution
[361]
to reshape your team collaboration in your organization
[365]
with a reliable experience for everyone.
[367]
Of course you can continue to use your existing displays
[370]
when paired with compatible video and audio devices.
[373]
And if you have a Surface Hub 2S you'll soon be able
[376]
to pair it with Teams Rooms
[378]
for a coordinated meeting experience.
[380]
Also coming soon you'll be able to join native Zoom
[383]
and Cisco meetings with direct guest join.
