Today we're going to talk about W-4s, W-2s,聽 W-9s, and why the IRS has so many of these forms,聽聽

The key variable, that dictates, which form聽 you need to complete is whether or not you're聽聽
[57]
an employee or an employer. So, let's start聽 off with the easy one, which is the employee:聽聽

if you're an employee, you have to complete聽 what's called the W-4. Now, what's the purpose聽聽
[66]
of the W-4? It's to let your employer know how聽 much of your paycheck you want taken out to聽聽
[72]
for federal taxes, because during the year, when聽 you're getting paid, a portion of your paycheck聽聽
[78]
is withheld and used to pay your estimated聽 income taxes for federal purposes, and the way,聽聽
[84]
that your employer knows how much to take out is聽 by you completing a W-4. At the end of the year,聽聽
[89]
when you get the the years over, and the聽 company has come has closed their books,聽聽
[95]
they're going to issue you what's called a W-2.聽 The W-2 is what you use to file your taxes,聽聽
[101]
and on that W-2 is going to show your total聽 wages, that you received during the year,聽聽
[106]
and on the next box it's going to show how聽 much taxes were withheld from your paycheck,聽聽

and that taxes withheld is what the W-4 was聽 used for. So, just to recap, the W-4 is used to聽聽
[120]
submit to your employer, that says how much you聽 want taxes withheld from your paycheck, and the聽聽
[125]
W-2 is what your employer provides to you, when聽 at the end of the year to show how much income you聽聽
[130]
earned and how much taxes were taken out. A note:聽 on the W-4 you do not submit that to the IRS,聽聽
[137]
you only submit that to your employer, but your聽 W-2, if you pay for file, you do submit that to聽聽
[142]
the IRS, but most cases now people don't pay for聽 file, so you just need to keep that as a copy in聽聽
[148]
the event, that you ever get audited. Now, let's聽 talk about the more complicated situation: it's聽聽
[152]
when you're an employer. If you're an employer,聽 you either have employees or you have vendors,聽聽
[157]
that you pay money to. If you have employees, from聽 those employees you're going to collect the W-4 as聽聽
[162]
I mentioned earlier, and you're going to use that聽 W-4 to to do the payroll for those employees and聽聽
[168]
at the end of the year you're going to issue聽 those employees a W-2. However, if you have聽聽
[173]
non-employees, people that vendors, that you聽 pay money to, you should never ever pay anyone聽聽
[179]
any money without accepting a W-9 from them聽 first. The W-9 is the vendor, telling you,聽聽
[186]
that this is my social security number or聽 my employer identification number, and that,聽聽
[192]
when you issue that money, they're going to use聽 that to report to the IRS and state authorities,聽聽
[197]
that they earned that money. So, as an employer,聽 if you pay anyone $600 or more, you have to issue聽聽

them what's called the 1099, if you're not sure聽 what a 1099 is, look at our video above, where聽聽

we talk all about 1099s and the different types of聽 1099s, and when you have to file a 1099. But just聽聽

to recap, if you pay anyone as an employer, any聽 vendor not employee, if you pay any vendor $600聽聽
[222]
or more during the year, you have to issue聽 them at 1099, and before you issue them a 1099,聽聽
[228]
you have to get some information from that person,聽 you have to find out what their name is, you have聽聽
[232]
to find out what their social security number or聽 their EIN is, their address and to collect that聽聽
[238]
information you need to have it in a W-9. So, you聽 want to collect that before you actually pay them,聽聽
[244]
because when it comes time to actually file the聽 1099, and if you go back to them and say "Hey,聽聽
[249]
I need your social security number or I need your聽 EIN", it's going to be a little more difficult to聽聽
[254]
collect that from them after they've been paid,聽 because there's really no incentive for them to聽聽
[258]
give that to you. But if you collect the W-9聽 ahead of time, then you'll have that with you聽聽
[264]
and you can use that to prepare your 1099. So, to聽 recap, as an employer, if you pay any non-employee聽聽
[271]
$600 or more, you need to issue them at 1099,聽 but before you actually pay that individual,聽聽
[277]
you want to collect a W-9 from them, that's聽 going to outline what their name is, their EIN聽聽
