[12]
Hello, my name is Erin.
[14]
Iâm a technical writer and editor who shares writing tips for real the world on this channel
[19]
and on my blog at erinwrightwriting.com.
[23]
Todayâs tutorial shows how to redact PDFs in Adobe Acrobat Pro.
[28]
Specifically, weâre going to cover five
tasks:
[32]
the basic method of redacting text and images, how to repeat redactions across multiple pages,
[40]
how to redact entire pages, how to find and redact text,
[45]
and, how to customize the appearance of redactions.
[49]
Plus, the bonus section at the end explains how to quickly sanitize specific metadata
[54]
and other items from your PDF.
[58]
Please note that the redaction processes shown here are permanent.
[63]
You cannot remove redactions or undo the sanitation process after they have been applied.
[69]
Therefore, you should perform these steps on a secondary copy of your PDF, not on the original.
[76]
Iâll be using Adobe Acrobat Pro DC.
[79]
The steps are the same in Acrobat Pro 2020 and Acrobat Pro 2017.
[86]
The redaction tool is not available in Acrobat Standard DC, Acrobat Standard 2020,
[93]
Acrobat Standard 2017, or in Adobeâs free PDF software, Acrobat Reader.
[103]
To begin the basic method for redacting text and images, select the Tools tab.
[109]
Then, select the Redact button in the Tools Center.
[115]
Now, select the text or image you want to redact.
[120]
A red border will appear around your selection.
[124]
If you hover your cursor over the selection, youâll see a preview of the redaction.
[130]
When youâre ready, select the Apply button in the Redact toolbar.
[135]
The Apply Redactions dialog box will appear.
[139]
Toggle the button on, which is blue, or off,
which is gray,
[143]
for the Sanitize and remove hidden information option.
[147]
Hidden information includes but is not limited to the following items:
[151]
attached files, links, bookmarks, comments and markups,
[157]
metadata including the authorâs name, and digital signatures.
[163]
If you want to choose which items are sanitized, toggle this option off for now
[168]
and use the Sanitize Document tool later, as shown in the bonus section at the end of this tutorial.
[176]
Next, select the OK button.
[179]
And then select a location to save your file in the Save As PDF dialog box.
[185]
Note that you may not see this dialog box
if you are saving an existing file.
[191]
Note that underscore redacted has been added to your file name.
[198]
Finally, select the Save button in the Windows Save As PDF dialog box or in the Mac equivalent.
[206]
Now that weâve covered the basic method, letâs look at how to repeat redactions across multiple pages.
[214]
You can redact text or images in the same location, such as a header or footer, on multiple pages.
[221]
Note that this option won't redact the selected text or images in other locations on other pages.
[227]
Weâll look at how to find text to redact
later in this tutorial.
[232]
With the Redact toolbar open as shown in the previous section, select the text or image you want to redact.
[239]
Then, right-click the selection and select "Repeat mark across pages" from the shortcut menu.
[248]
Note that the selection will turn black or another chosen fill color when you right-click.
[254]
Next, select specific pages from the Repeat Redaction Mark dialog box.
[260]
You can choose all pages, odd pages, even pages, or a specific page range entered into the text box.
[268]
After youâve made your choice, select the
OK button.
[273]
And then select the Apply button and continue the redaction process as shown in the previous section.
[280]
Now weâre going to redact entire pages.
[287]
You can redact one or more pages in your PDF at a time.
[291]
With the Redact toolbar open as shown in the first section,
[295]
select the arrow to the right of the Redact Text & Images button.
[300]
Then, select Redact Pages from the drop-down menu.
[304]
And choose your redaction option in the Mark Page Range dialog box:
[309]
"Mark current page for redaction" allows you to mark the current page and additional pages for redaction.
[316]
"Mark specific page range for redaction" allows you to enter individual pages or a page range into the text box.
[325]
After you've made your decision, select
the OK button.
[329]
Note that if you chose "Mark current page for redaction," you can scroll to other pages
[335]
and use the cursor to select additional pages.
[342]
When youâre finished, select the Apply button
[344]
and continue the redaction process as shown in the first section.
[349]
In the next section weâll search a pdf for
specific text before redaction.
[356]
You can find specific words, phrases, or patterns to redact in individual PDFs
[361]
or multiple PDFs within a folder.
[364]
With the Redact toolbar open as shown in the first section,
[367]
select the arrow to the right of the Redact Text & Images button.
[372]
And then select Find Text & Redact from the drop-down menu.
[378]
Review the alert box warning you that images and line art are not searchable
[382]
even if they look like text, and then select the OK button.
[387]
Next, select the PDF or location to search
in the Search panel.
[393]
And then select "Single word or phrase" or "Multiple words or phrase"
[398]
and then enter your search term into the text box.
[403]
You can narrow your search by selecting "Whole words only" or "Case-Sensitive."
[409]
Instead of words or phrases, you can also choose Patterns
[413]
and then select an option from the menu, which includes phone numbers, credit cards, social security numbers,
[420]
email addresses, and dates.
[423]
Once youâve chosen words and phrases or patterns, select the Search & Remove Text button.
[430]
And then select the results you want to redact.
[434]
Now, select the Mark Checked Results for Redaction button.
[440]
And then select the X to close the Search
panel.
[444]
Finally, select the Apply button and continue the redaction process as shown in the first section.
[451]
In the next section, weâre going to customize the appearance of redactions.
[460]
Itâs important to note that you canât
change the appearance of existing redactions,
[465]
so you have to complete these steps before creating your redactions.
[469]
With the Redact toolbar open as shown in the first section,
[473]
select the arrow to the right of the Redact Text & Images button,
[477]
and then select Properties from the drop-down menu.
[481]
The Redaction Tool Properties dialog box will appear.
[486]
This dialog box offers many options, the most popular of which will undoubtedly be the Redact Area Fill Color.
[495]
If you choose No Color, your redaction will be a blank space.
[500]
Today Iâm going to choose purple.
[503]
When youâre finished making your changes, select the OK button.
[507]
And then proceed to create your redactions as shown in the previous three sections.
[513]
In the next section, weâll quickly look at how to sanitize PDFs of potentially sensitive information.
[522]
In this final section, weâre going to sanitize specific metadata, hidden information, and other items in a PDF.
[530]
Please note that this process is permanent,
[533]
so only perform these steps on a secondary copy of your PDF, not on the original.
[539]
Once again, open the Redact toolbar as shown in the first section,
[543]
and then select the Sanitize Document button.
[547]
Then, select Click Here in the Sanitize Document dialog box,
[552]
indicating that you want to selectively remove hidden information.
[557]
The Remove Hidden Information pane will appear.
[561]
Uncheck any results you donât want to remove.
[567]
And then select the Remove button.
[570]
Review the warning in the Remove Hidden Information alert box.
[575]
And then select the OK button if you agree.
[580]
The status in the Remove Hidden Information pane will change to
[584]
âRemoving selected items ⊠Doneâ when the removal process is finished.
