OnTask: Sign an NDA in a Completely Digital Workflow - YouTube

Channel: unknown

[1]
This is a tutorial on the OnTask
[3]
eForms and workflow system.
[5]
I’ll be showing how simple it is to fill out
[7]
and sign a non-disclosure agreement or
[10]
an NDA.
[12]
Using this completely digital workflow
[14]
will result in a legal PDF document
[16]
with certified signatures.
[21]
To start the NDA authorization,
[23]
the person originating the workflow
[26]
(also known as the originator)
[28]
will begin with this predesigned list of workflow processes.
[32]
Here you can hover over the NDA option
[34]
on the left-hand column,
[36]
and select ‘Run Workflow’.
[40]
The originator then fills out
[42]
who will be receiving and signing the NDA.
[44]
There are fields here for the organization’s name,
[47]
and emails of the people who will be
[49]
completing the form.
[50]
Once filled out, select the ‘Continue’ button
[52]
to begin the workflow.
[55]
An email will notify the first approver
[57]
to review and complete the form.
[59]
The email will have a link for them
[61]
to access the OnTask e-form
[63]
in a cloud-hosted environment.
[67]
OnTask has an e-form designer that allows you to
[69]
convert your paper or PDF forms to
[72]
fillable, electronic forms.
[74]
Here is the NDA we’ve already created
[76]
with fields ready for the first approver to fill out.
[81]
As the first approver completes filling out
[82]
and digitally signing the form, they will
[85]
see the tasks displayed to the right of the eForm.
[88]
The task will turn from red to green when completed
[92]
indicating the number of remaining tasks below.
[95]
As the approver, you can review the form
[97]
and the fields you’ve filled out.
[99]
If the document is acceptable
[101]
you can click continue when finished with the form;
[104]
an option to decline filling out the form
[107]
is also available.
[111]
OnTask provides a dashboard for the originator,
[113]
and other administrators,
[115]
showing the status
[116]
of the workflow and what tasks have been completed.
[121]
After the first approver completes their tasks,
[124]
the second approver will then receive an email
[126]
to fill and sign the NDA continuing the workflow.
[135]
When all tasks for the NDA are done,
[137]
an email is sent to each approver, indicating that
[140]
the workflow has been completed.
[142]
There is an option to download
[143]
the signed NDA in the email.
[149]
The download as shown here
[151]
is an uneditable PDF.
[157]
A signature verification page is added
[159]
at the end of the document, with a time-date
[162]
stamp for each approver’s signature.
[169]
The originator can go back to the OnTask dashboard
[171]
to keep track of all of the workflows that
[174]
are in progress and completed,
[176]
as well as canceled workflows
[178]
that were declined by approvers.
[183]
The NDA can be downloaded by the originator
[185]
and stored as an electronic document,
[188]
recording the completed process without paper.
[191]
PDF documents, such as this NDA,
[195]
can be stored in Application Xtender’s
[197]
Enterprise Content Management Software
[201]
with unique index fields for quick retrieval,
[204]
user access security, and document retention.
[207]
This is another software solution
[208]
that Mid-America represents.
[211]
The OnTask e-forms workflow system
[214]
can be used for virtually any
[215]
document or workflow process.
[218]
It allows for the routing of e-forms
[219]
inside and outside of your organization
[222]
through an approver’s email address.
[225]
OnTask also includes a form designer
[227]
to convert your existing paper
[228]
or electronic forms into
[230]
a fillable PDF form.
[233]
And it is managed in a secure cloud environment
[235]
that can be accessed by computers, tablets,
[238]
and smartphones.
