feature that the onedrive has called

files on demand a couple of people

commented that I was using the wrong

Google Drive app and well who don't own

it but they were right so I thought this
[18]
week was pretty timely to do a video on
[20]
a bit of a comparison between Google
[23]
Microsoft Apple Dropbox since they're
[26]
probably the most well known file
[28]
syncing apps out there there are also
[29]
others like Amazon and as your files but
[31]
some as those typically get a lot more
[33]
involved and I thought we stick to just
[35]
those for today but I might touch on
[37]
them very very briefly
[39]

anyway so to keep this fair we're going
[47]
to address each service purely based on
[48]
the storage service offering we're not
[50]
going to get into the intricacies of 365
[53]
versus G Suites we'll also address a few
[55]
key areas for each product pricing user
[59]
experience sharing backup retention data
[62]
sovereignty and reliability / uptime so
[67]
firstly let's talk Microsoft on a
[72]
personal level you can get 5 gig for
[75]
free you can upgrade to a hundred gig
[77]
for $1.99 or pay $59.99 per year for 1
[81]
terabytes of space on the business side
[83]
of things you get 1 terabyte onedrive
[85]
with most of the paid for plans and
[86]
since it already likely already
[88]
subscribed to to office 365 then you
[91]
already have this at no additional cost
[92]
now in terms of accessing the onedrive
[95]
the app runs pretty much on on anything
[97]
Mac Windows Mobile even on platforms
[100]
like Microsoft Xbox so a couple of
[102]
things I like about this it's a single
[104]
app for personal and business onedrive
[106]
accounts and you can sign in to multiple
[108]
accounts without any issues their files
[111]
on demand feature which I mentioned last
[112]
week which only downloads files that
[115]
you've recently access to save your
[116]
space on your machine multiple people
[119]
can work on the on the same files at the
[121]
same time and see edits live and and
[123]
platforms like Microsoft Power automate
[125]
can be used to
[126]
- totally automate the creation and
[128]
movement of your files a few things I
[131]
don't like well with files on demand you
[134]
can't choose how long to keep the files
[136]
I'd love to be able to set say 7 days or
[138]
30 days before the files are then
[140]
removed from the cache locally to save
[142]
you space but actually none of the apps
[145]
have that feature so it's not really
[147]
specific to onedrive now the biggest
[148]
bugbear I have we onedrive is their
[150]
maximum file size limit which is 15 gig
[153]
because sometimes these video files I
[155]
produce a 60 gig nice now when it comes
[160]
to sharing as you'd expect of course you
[162]
can share the files and folders with
[164]
with anybody internal external and yes
[167]
keynote here those without a Microsoft
[169]
account can even edit the documents you
[172]
can also set a date for when access
[174]
expires and you can also set a password
[176]
to access which is a pretty neat feature
[177]
of the
[178]
security now as far as backups go as
[180]
I've mentioned in plenty of my other
[182]
videos office 365 is not backed up now
[186]
Microsoft even state this in their Terms
[188]
& Conditions when you go and sign up
[190]
that you need to find a third-party
[192]
backup tool to backup your data so
[195]
whilst yes you might have a copy of the
[198]
data on your machine which is then also
[200]
stored in the Microsoft cloud this
[202]
doesn't protect you from deleting
[203]
something accidentally and not realizing
[205]
until six months later at which point
[207]
it's too late the file has gone forever
[209]
to the dusty graveyard of the discarded
[212]
were the nextel files probably also
[214]
where the Microsoft paperclip has gone
[216]
to rest now for data sovereignty you can
[220]
check where your data is stored by going
[222]
to the office 365 admin Center you go to
[224]
settings organization profile data
[227]
location and by generally speaking if
[229]
you signed up for office 365 in the UK
[232]
then your data will be stored in the UK
[234]
in other news only a few selected 365
[237]
services are stored outside of the UK so
[239]

a point of note here Microsoft offered
[246]
their multi geo service where your data
[249]
can be localized where it needs to be or
[251]
on an individual basis is only offered
[253]
to companies with over 500 seats so if

you truly are a global organization and

you need your data sovereignty to be
[259]
localized around the globe then that's a
[263]
good feature for you and I actually
[264]
applaud Microsoft for giving
[266]
administrators the choice and visibility
[268]
here whilst most online storage services
[270]
will be the likes of gdpr PCI DSS and
[273]
ISO compliance there is still a hurdle
[275]
that some business owners struggle with
[277]
when they know that their data is
[278]
physically located in the u.s. raises
[282]
questions over the US government having
[283]
access to their data even behind all of
[286]
the strict regulations and and all of
[288]
their compliance on to the reliability
[290]
and what I've done here is I've done a
[291]
Google News search for outages for each
[294]
of these products on the second of May
[296]
2019 there was a three hour outage on
[298]
the 30th of January 2019 there was a
[301]
four hour outage there was another four
[304]
hour outage on the 29th of November in
[306]
2018 and then we're right back to March
[309]
2017 on to Google this time
[313]
this is what caught me out before say
[316]
Google's products which is named Google
[318]
Drive which you still access by browsing
[321]
to drive.google.com used to use the
[324]
application called Google Drive and in
[327]
fact you can still download the Google
[328]
Drive app on your mobile device on Mac
[331]
and PC you don't download Google Drive
[333]
anymore used to you now download either
[336]
Google backup and sync or if you're a
[339]
business user you can also download
[341]
Google Drive file stream simples so
[346]
therein lies my first issue akin to
[349]
Microsoft's recent rebrand of their
[351]
Microsoft Flo platform to Microsoft
[352]
power automates yet lots of literature
[356]
and URLs still talk about Microsoft Live
[358]
except Google launched their Drive file
[361]
stream in 2017 two and a half years ago
[366]
yet they still don't seem to have their
[368]
name standardized across the board
[370]
thus the confusion in my previous video
[372]
with that aside personally you get 15
[375]
gig for free which is pretty cool 100
[378]
gig for $15.99 a year so cheaper than
[381]
Microsoft onedrive 200 gig 424 pounds a
[384]
year 2 terabytes for $79.99 a year and
[388]
that goes right up to 10 20 30 terabytes
[391]
of storage now from a business
[394]
perspective on G suite you can pay 4
[397]
pounds 60 per user per month for 30 gig
[399]
of cloud storage and then from 9 pounds
[403]
20 upwards on their plans you get
[405]
unlimited cloud storage providing you
[408]
have more than five users which is a
[410]
shame but I guess it stops people like
[413]
me abusing the free storage again you
[417]
may have already been subscribed to G
[418]
suite 4 for your email and other
[420]
features so this could be something that
[421]
you already have at no additional costs
[424]
once you've got your head around the
[426]
different client applications is
[427]
actually pretty good with Google backup
[430]
and sync you can backup folders outside
[432]
of your Google Drive folder so your
[434]
desktops or your download folders but
[436]
but this client stores everything on
[438]
your machine unless you specifically
[440]
don't sync certain folders meaning you
[442]
either need to use the web client to get
[444]
access or a massive
[445]
drive to store everything locally over
[447]
to Google file stream it works in a very
[449]
similar way to to onedrive files stay in
[452]
the cloud until you access them then
[454]
they download and store them on your
[456]
machine while you accessing them and
[458]
then get cashed for it for a little
[459]
while and then in terms of using
[461]
multiple accounts again confusion
[463]
strikes whilst are successful in adding
[466]
to Google accounts into Google backup
[468]
and sync which essentially runs two
[470]
separate instances in the taskbar on my
[472]
Mac I post on the Google forum states
[474]
that you can sign in to up to three
[476]
Google accounts at the same time yet
[479]
literally the line below that it states
[482]
that there isn't a built-in feature
[483]
choose two accounts at the same time on
[487]
the other hand with Google file stream
[489]
you can't use multiple accounts you can
[491]
only use just the one so from a cost
[494]
perspective the fact you get unlimited
[496]
storage for a relatively low monthly
[498]
price means that as a pure file storage
[501]
Google Drive so far wins the debate for
[504]
me when it comes to sharing of course
[505]
you can share internally and externally
[508]
with the caveat if the person you're
[510]
sending to doesn't have a Google account
[512]
they can only view the files they can't
[515]
edit them so Microsoft and onedrive has
[517]
a bit of a one-up on Google here but a
[520]
counter to that is likely who doesn't
[522]
have a Google account of some form
[524]
nowadays worth noting here you can also
[526]
change permissions for sharing
[528]
externally from from an administrators
[529]
level to prevent people sharing outside
[532]
of the company if you wish as you can
[534]
with onedrive as far as backups come
[536]
once again the same story Google Drive
[538]
is not backed up outside of that they
[541]
have a short window of 25 to 30 days for
[544]
being able to actually recover any
[546]
deleted files data sovereignty now
[549]
Google doesn't provide any facility to
[550]
to choose or determine where your actual
[552]
data is located they state that their
[555]
data is replicated throughout multiple
[557]
occasions for resiliency so they're not
[559]
as transparent says Microsoft but just
[562]
reminder that both Microsoft and
[564]
Google's offerings are fully compliant
[566]
with the likes of gdpr and PCI DSS
[568]
healthcare and and other regulations of
[571]
course with that said you best
[573]
double-check with any specifics if you
[574]
need to be legally compliant one thing
[576]
just to note here as well I noticed is
[578]
that Google does
[579]
provide their data processing amendment
[582]
or the model contract clauses anyone not
[585]
using the business G suite platform on
[588]
to reliability so according to my
[590]
research there was an outage on the 27th
[593]
of January that lasted for around one
[595]
hour on the 19th of August for around
[598]
2019 for hours on the 17th of April 2019
[602]
for around 2 hours on the 30th of March
[605]
2019 for around 4 hours now over to
[608]
Dropbox so Dropbox personal plans get
[615]
you 2 terabytes of space for $7.99 a
[617]
month or 3 terabytes for 1658 per month
[621]
on the business side of things is 10
[624]
pounds per month for a minimum of 3
[626]
users and you get 5 terabytes of space
[628]
and then it's 15 pounds per user per
[631]
month for a minimum again of 3 users
[633]
with unlimited space which is a shame
[635]
again if you're a single user or only a
[637]
couple of users wanting access to the
[639]
business features because you're forced
[641]
to pay for 3 users sharing wise you can
[643]
share externally of course and similar
[646]
to others a caveat that if you share a
[647]
folder that's being accessed by multiple
[649]
people then the other end will need to
[651]
sign up for at least a free Dropbox
[653]
account otherwise they'll only be able
[655]
to to download and view the files now
[658]
from a backup and recovery perspective
[659]
the personal two terabyte plan gets you
[662]
30 days actual backup and version
[665]
history and the 3 terabyte plan has 180
[667]
days but all of the business plans also
[670]
have 180 days which is miles better than
[673]
that Microsoft or Google anybody so far
[676]
so thumbs up to dropbox dropbox it also
[679]
has smart sync which is their version of
[681]
only downloading the files that you need
[683]
to store locally this is only available
[685]
on their plus professional and business
[688]
accounts so personal accounts you don't
[691]
get this feature on to data sovereignty
[693]
with Dropbox again it's the likes of
[695]
ISRO and GDP our compliance but you
[698]
don't get to choose where your data is
[699]
located unless you have 15 users or more
[702]
where you can specify their EU based
[704]
data hosting service otherwise data is
[707]
stored in primarily in the US but also
[710]
in Germany Australia and Japan

on two outages so on June the 6th 2019

there was a two-hour outage and to be
[719]
honest that's actually all of the ones
[721]
that appeared in the Google newsfeed
[722]
when I searched for the exact same
[724]
search terms as all the others so make
[728]
of that what you will I guess

lastly we have Amazon AWS which I'll
[735]
touch on it's worth a mention pricing
[738]
wise it is far too difficult to go into
[741]
here but depending on your use case I
[743]
see AWS as probably being the most
[746]
affordable storage of all really for
[748]
example I use a Mac base security CCTV
[752]
system called security spy and that has
[754]
a feature that copies the CCTV footage
[757]
into AWS I currently have half a
[759]
terabyte in AWS and I'm paying less than
[762]
$2 per month now the issue here is their
[764]
pricing takes into account so many other
[766]
factors though the storage space you
[768]
need the number of transfers in number
[770]
transfers out archive glassier storage
[773]
so so many options but it's cheap very
[776]
very cheap so it makes a great place to
[779]
store backup files or files that you
[781]
don't really need for access that often
[783]
onto user experience and this is where
[785]
Amazon falls down of course and and yes
[787]
because this isn't this is really
[789]
targeted at businesses and not consumers
[791]
but you also have to do a bit digging to
[793]
find clients that allow you either
[795]
access to your data fire say or a Mac
[797]
Drive or FTP server or so forth nothing
[800]
quite like the experience of just
[802]
signing in with your your username and
[803]
password
[804]
like everything else does backup or
[806]
intention so using AWS you can also
[809]
specify backups and configure them as
[811]
often as you require but again this
[814]
requires a fairly decent level of
[816]
knowledge on on how to browse around the
[818]
AWS console but it certainly gives you
[820]
the best options compared to the other
[823]
providers on today to sovereignty as
[825]
with Microsoft when you create your
[827]
storage pools you couldn't specify where
[829]
you want them to be stored so they check
[831]
the boxes here to no one to reliability
[833]
22nd of October 2019 there was an
[836]
eight-hour outage August 31st 2019 an
[840]
outage in the US was another eight-hour
[842]
outage February 2017 there was a circa 3
[846]
hour outage in the US other than this
[849]
there are generally multiple outages per
[852]
year before this and they seem to be
[853]
fairly dramatic that a their offer for
[856]
hours rather than the one or two hours
[858]
we see where lots of the other services
[859]
but then it is very affordable and if
[862]
you're just looking for for storing
[864]
files that you don't often need access
[866]
to like
[866]
my CCTV or archived data then outages
[871]
likely aren't really a big deal to us
[875]
the last one to get an honourable
[878]
mention would of course be Apple's own
[880]
iCloud storage 200 gig for 249 a months
[884]
2 terabytes for $6.99 a month's user
[888]
experience is probably where Apple would
[890]
win here but only of course if you're on
[893]
an Apple device it seamlessly integrates
[896]
with with all aspects of the Apple
[898]
ecosystem from your photos videos music
[901]
backing up your mobile devices it's just
[903]
so easy to get to your data credit where
[906]
credit is due
[906]
parcel of Apple's whole existence is
[909]
around just making sure everything just
[911]
works and they do succeed this in in
[914]
many areas when it comes to backup this
[916]
is where it gets tricky in a nutshell it
[918]
is difficult to near impossible to
[921]
reliably and automatically backup the
[924]
contents of your iCloud storage there
[926]
are also no clearly documented retention
[928]
periods for for how long Apple will
[930]
store deleted files so in the event of
[932]
accidentally deleting something and only
[934]
realizing a few months later you'll have
[936]
pretty much little to no options to
[939]
recover with Apple you will never know
[941]
precisely where your data actually is in
[944]
2018 Apple disclosed that their their
[947]
data is stored on both Amazon and
[949]
Google's commercial cloud storage
[951]
systems so that could cover anywhere
[953]
effectively now if we take a look at the
[955]
reliability and uptime for iCloud well
[958]
since iCloud sits on the back of other
[960]
platforms it's a similar story to the
[963]
above research shows multiple assets
[965]
throughout 2019 in May June July October
[969]
a four hour outage in March one in
[971]
December and that's just on the first
[973]
page of the Google search results so
[975]
likely not the most reliable to use as
[978]
your primary means of storage as to
[981]
which service is best of all of the
[983]
above well it depends is the answer and
[986]
if you're looking for cheap storage that
[988]
you don't mind getting your hands on or
[990]
rather fingers dirty in learning how to
[992]
connects you to your data then AWS hands
[996]
down I'd say if you're in the office 365
[998]
ecosystem already

one drive makes perfect sense as does
[1002]
the Google Drive or file sync and
[1004]
recover a stream thing if you're a G
[1007]
suite user Dropbox does seem the general
[1009]
go-to for many business users but that I
[1012]
think is mostly down to people not
[1014]
realizing you have storage at your
[1015]
fingertips in Google Drive or or office
[1018]
365 so you could actually look to save
[1020]
some money by moving your data from
[1023]
Dropbox over to one of those existing
[1025]
services with that Paul well personally
[1028]
I wouldn't store anything
[1029]
business-related on it unless of course
[1030]
your whole business operates from the
[1033]
Apple ecosystem your iPhone's Mac's the
[1034]
lot but but even then sharing becomes
[1037]
quite difficult so that is pretty much
[1039]
everything for this week a quick

overview of all the platforms hope you
[1042]
have not done anyone a disservice by
[1043]
saying the wrong thing about the wrong
[1045]
products most of this is based on my
[1046]
experience of using each of the
[1048]
platforms and some quick researching

online so those interested so we

obviously use office 365 heavily within
[1053]
teca's we have a lot of our data store
[1055]
bidding office365 in SharePoint and
[1057]
onedrive personally I actually have my
[1059]
files in AG suite business account for
[1061]
my personal side of things so I'm moving
[1063]
as I said previously moving my data into
[1064]
there and and yeah I have positive
[1067]
things to say about both Google and 365
[1070]
so there is no office 365 versus G suite
[1073]
thing here they both up there in
[1075]
positives both got some drawbacks and
[1077]
yeah I'll leave it to you to make your
