Retail POS Software Demo - POS Nation - YouTube
Channel: POS Nation
[2]
Hey, my name is Spence Hoffman with POS Nation and I want to thank you for
[6]
taking the time to watch this retail POS
system demo video. What I'm going to do
[11]
is just walk you through the basic
functions of our system so you can see
[15]
what it looks like and kind of get an
idea of what we have to offer for your
[18]
business. What I'm going to show you
today is our basic retail setup, which is
[22]
going to be what we have right behind me
here. We have our all-in-one solid state
[27]
hard drive touch PC. This has no moving
parts and it's going to be ruggedized to
[32]
meet any environment. You also have a
thermal receipt printer, cash drawer, and
[37]
barcode scanner. And attached to the system we also have a credit card reader, which
[42]
can be used for credit cards and also
employee cards, which we give out with
[47]
every system. We've got a lot of other
hardware you can upgrade, such as
[51]
customer display screens, barcode label
printers, and even tablet versions of the
[56]
point of sale system, which you can see
here. We can put the same software on a
[60]
Windows 8 tablet and then you'll be able
to have that as a mobile option or just
[65]
as a smaller profile version of
the hardware. Okay, now we're going to
[70]
take a look at the retail POS software
homepage. And from here, all of your
[75]
employees are able to clock in and out
just by hitting the little clock in the
[79]
lower right hand corner. They can swipe
their employee ID cards and hit the
[84]
clock in or clock out buttons or start a
break. And cashiers can also log into the
[90]
system as well as managers with the same employee ID card. You just swipe it on
[95]
the front of the screen here, and now
you're logged in to the system. So what
[99]
we'll do today is we'll follow the life
cycle of this can of Coca-Cola. We'll
[104]
create this item in the system and then
we will sell the item and reorder it and
[110]
run some reports. So we'll show you the
basics of the inventory control system.
[114]
So first I'm going to go to the manager
section of the software, which is
[118]
password-protected by the way, and we'll
go to the inventory maintenance. I already
[122]
have queued up the Coca-Cola item here.
Essentially, all you would do is scan the
[126]
barcode in as the SKU item number. Type
in the description of the item. You can
[132]
track the cost of goods sold, or you can
leave that blank, it's up to you, and
[136]
then the price you're selling it at. And if
you want to go the whole nine yards,
[139]
you can also set up your ordering info
so you can do reorder points, which
[145]
means that, say you have 35
items in stock but you always want to
[150]
have 40 in stock. So 40 is your reorder
point. Once it gets below that number,
[154]
it's going to show up on a reorder
report and on purchase orders. So that's
[159]
automatic so you don't have to look
through an entire list of inventory to
[163]
see what's low in stock. So we also can
put in the number and case so we can
[168]
order it in quantities other than
singles. We can put a case cost and
[172]
vendor information in there. So once the
item's in the system, it's ready to sell,
[176]
so I'm going to exit from this screen
and we're back to the cashier screen
[180]
where I can take my can of cola, scan it
with the barcode scanner, and you see it
[185]
comes up here on the screen. Now I'm able to edit this order, obviously add
[189]
additional items. I can also look up
items to the touch screen and you see my
[193]
can of Coca-Cola is a button on the
screen there where I can then add
[196]
another to it or I can change the
quantity of that. So maybe I want to get
[201]
six of these and I could even do price
changes, add discounts to certain line
[206]
items, add discounts the entire invoice,
also, add a customer to the invoice if
[211]
you're tracking customer loyalty for
bonus points or if you just want to
[215]
track your customers' information and zip
codes and email addresses. So you can do
[221]
all that within the system here. So I
just pulled up the customer display
[224]
screen, I hit add customer, and now I'm
able to enter a phone number, first and
[229]
last name, email address, all additional
contact info. I can set them up on a
[234]
loyalty plan, I can even set them up on
layaway or accounts receivables to track
[239]
ongoing purchases and invoicing at a
later date. So those options are
[245]
available within the system as well. Once
my order is complete and I'm ready to
[249]
pay, then I'll just hit the pay button,
and $8.75 is my total. I've got some quick
[255]
keys down at the bottom of the screen. So they hand me a ten, I can say $10, cash drawer
[260]
pops open, change is $1.25, and I can print a receipt — yes or no. Go ahead and print
[265]
that receipt. The receipt prints out, and I'm ready to move
[269]
on to the next sale. So that's completing the cashier process.
[274]
It's very easy to use — you can train a
cashier in about 10 minutes on how to
[277]
use this system. They'll fly all day long
without having to ask any questions. So
[283]
the next thing I want to do is quickly
show you the purchase order screen, where
[289]
let's say, after you've already received
your first shipment of Coca-Cola, you've
[293]
sold some, now it's time to reorder, but
you don't know how many to reorder. Well,
[297]
you could look at an inventory report or
you could use your reorder points that
[301]
you already set up for that vendor and
then go straight to the purchase order
[305]
and hit reorder low stock items and it's
going to go ahead and add to the PO. As
[309]
you can see here, it's added three cases
to that order and I can adjust that just
[315]
by tapping and say, nah I just want to
get one case. You save that PO, send it
[319]
out to your vendor, whenever those order
comes in, you hit receive all and it
[323]
updates your inventory count. Now you've
done the entire product lifecycle. And
[327]
the last thing I want to show you is
reporting on that inventory. So if you
[333]
want to see what you've done throughout
the day, maybe you want to see how many
[337]
items you sold and have that broken down by department, then what you'll do is run
[341]
one of these reports here called a
detail department sales report, which is
[347]
going to break down your sales for
whatever time period you choose. Whether
[350]
it's today, this week, last month, 10 years of time gone by... You can see all
[356]
of your sales for that time period, every
single item listed, how many you sold, and
[360]
a grand total of your sales and broken
down by department. Maybe if you want to
[365]
see an overview of sales for the day
then you can run what's called a flash
[370]
report, which is just a real simple
report, which you can get to just by
[374]
clicking through the list of reports
here and once you find that report in
[378]
the list it's going to allow you to run
that report for whatever time period you
[383]
choose. So if I wanted to back that up
for another time period, then I could
[386]
select that, change the date. Otherwise, if
I just want it to be for today, then I'll
[391]
just hit display. I could print this
right out to my receipt printer as well,
[394]
or export it to Excel, and it's going to
show your net sales, tax you took in,
[398]
gross sales, those payment type breakdowns, cash,
[402]
credit, gift cards, things like that — and
even how many transactions you ran for
[405]
that time period. So there's many other
reports such as inventory reports,
[410]
employee time clock reports, and many
other things that you can do within the
[414]
system, which we don't have time to show
you today, but we do want to give you
[418]
this basic overview just so you can see
what the system has to offer. So if you
[422]
do have any specific needs, this is a
very flexible point of sale, and we can
[427]
most likely meet those needs for any
retail store. So please feel free to
[430]
contact me directly so we can set up a
demonstration or ask any specific
[434]
questions that you have and we'll be
glad to help you out. Again, my name is
[438]
Spence Hoffman with POS Nation, and
thank you so much for watching this video.
