How We're Automating 80% of Our Property Management - YouTube

estate investor and a landlord like many
of you guys and I want to share

something with you guys that is saving
myself and my team up to 80% of time

money and energy in managing our
properties chances are a lot of you guys

watching this you guys are landlord or
he has or a property management and we

got into owning properties and buying
properties because we want to achieve

financial freedom right like we wanted
to buy something so that it will create

cash flow for us it's gonna bring us
revenue we can retire on it that's what

we want but there is this thing called
property management that seems to be
[36]
holding us back
like we hire property manager it's
[39]
costing us money that's great if you are
probably manager or you might be
[42]
managing properties yourself that you
own it's costing you time and it's
[46]
causing a lot of heartache and stress
maybe something else can deal with it
[49]
but if you're like me I want to have
time to you know spend time with my wife
[52]
my family on travel right I don't have
to keep on managing tenants and toilets
[57]
and termites that's not what we heard
for so my brother and I and my team we
[62]
got together we are working on something
that will potentially automate 80% of

your property management so I'm gonna
share my screen with you guys so this is

a software called Puma that my brother
and I have been building it's not quite
[76]
finished yet but we are getting to that
process who want stands for property

user management automation and the key
thing is we want to help you automate

your process your workflow I know
there's many software's out there that
[90]
does a lot of things that we're gonna do
but I'm gonna highlight something that

is critical to helping you automate up
to 80% of your product management okay

cool so one thing well I'm gonna hit
highlight three things I don't we don't
[103]
have all the time to go over everything
you guys want to see more I'm gonna go

and leave a link of the demo where you

it however you guys want to do it give
me feedback suggestion the first feature

is the mind a feature now I borrow this
feature from a software called

Infusionsoft or keep as they rebranded
recently my days kind of like your

command control center this is where
you're gonna have all your buttons like

when you when you're driving you have a
dashboard right and your dashboard is
[130]
gonna tell you how fast you're going
what you do there's gonna be like

Alerts right if you have check engine
light on it's gonna show you like you
[137]
don't have to look under the hood to see
what's going on like while you're
[141]
driving which by the way is dangerous
you shouldn't be doing that but your
[144]
dashboard pretty much tells you
everything is going on within your car

so that's what this is we both like a an
operational dashboard to see what your
[153]
appointments are your tasks what are
your next appointments the phone number
[158]
and email address
relating to the contact so whether it's
[161]
a tenant a vendor an owner if you manage
for other people you're gonna see all
[166]
that here in a central command module so
that you don't have to be like going
[170]
around and through your calendar and
looking at to do things and the reason

why we built the my day features when I
remember in Arnold property management

as soon as we start our day nine o'clock
we open up the office and for the first
[186]
30 minutes of the day we were all we
were doing is figuring out what we need
[189]
to do we're like oh my gosh like we're
going through paper word we're going
[192]
through like documents trying to figure
out okay what do we need to get done

first to get day going well what my day
does is it takes all of your tasks
[200]
automatically generates them for you
right here so that you don't have to go
[203]
through and shuffle through paper or
look it through your calendar or look
[206]
through your text messages to see what's
going on

Pumas gonna consolidate everything into
one single spot so that boom like 9
[214]
o'clock hits or 8 o'clock whenever you
start working you can come to your task
[217]
and start knocking them out pretty cool
right so that's 30 minutes a day for us

that's saving us 30 minutes times 5 days
that's close to 2 hours and 30 minutes

in a week okay you multiply that by 52
that's a lot of hours that Pumas gonna

save you so that's a Monday feature
obviously there's a calendar you guys

will have templates for leases and check
to see vacancies which property is on
[241]
hold and which property has done
repairing so that we can get the next
[245]
tenants
going in our leads okay we get to see
[250]
our rental applications that are pending
and also leave that that are interested
[254]
in wanting to rent rent from us we got
our properties oh one thing I want to

show you guys that's something that's
that's really really cool I think it's
[262]
actually in our tenant
featured boom okay so here in the tenant
[267]
list of tenants
okay this is your tenant directory
[270]
something that a lot of property
managers has been asking us to do is add
[274]
a lease progress to the directory so you
can literally go down the list and and
[280]
see that okay this person their lease is
about to be over this person just got
[284]
there at least started Oh looks like
this you know so you can kind of see
[287]
which tenant has releases coming up to
you now what's cool about it I'm gonna
[293]
show you in just a sec is you don't have
to manually ask them to renew or if they
[297]
want to move out you can actually pre
program Puma to send them all the
[302]
renewal notice they'll also notify you
I'll show you I don't want I don't want
[307]
to spoil the fun okay it does accounting
for you so tracks all your receivables
[311]
payables reports you guys will get all
that pretty much pretty much whatever
[318]
the other property management software
is offering its there this is where it
[323]
gets fun this is my favorite favorite
part and it's gonna be your favorite
[326]
part to you this is the automation
module and this is perhaps the most
[331]
important feature in Puma because this
is what's gonna actually save you guys
[336]
up to 80% at a time like yes thought my
day was gonna save you time automation
[341]
this right here is gonna go and save you
ton of time so what you guys are looking
[345]
at is what's called a sequence builder
or sequence editor synonymous names but
[350]
what sequences our sequence is a set of
actions and steps that you you guys are
[356]
gonna pre program for Puma to do so to
give an idea let's give you a real-life
[360]
example let's say a tenant is late right
they don't pay rent it's after the grace
[366]
period whatever maybe you can actually
have Puma as soon as someone's
[371]
considered late you can program Puma to
do certain steps for you so you don't
[376]
have to do it so one of the first steps
you might do is generate a letter Pumas
[381]
that you can pre-programmed Puma to
generate letter for you where it's gonna
[385]
have their first name all crime you know
all merged in so that you don't have to
[389]
like every time someone's late you don't
have to enter a letter or enter their
[393]
name or information into the letter
Pumas gonna automatically death for you
[397]
it
you know you can set up a delay so after
[400]
you generate it later generate the
letter you may want to have Puma wait by
[403]
the day or two days however many days
you want to want to make it make it wait
[407]
and then the next step will be hey let's
send an email to the tenant to let them
[412]
know that they are late so I'm gonna
pre-program and I send it and send this
[417]
to the tenant that's late I'm going to
write hey dear mr. tenant or mrs. tenant
[422]
you are late by X amount and by the way
the amount will auto-populate in itself
[428]
so you don't have to go and manually
again type in whatever the mountain is
[431]
so Pumas gonna go ahead and auto
populate their name the amount you're
[435]
due it's gonna pop into the PO ruling so
they can log in the tenants can log into
[440]
a portal and they can pay and then maybe
that's not enough you have to create a
[444]
task for yourself or for your your
assistant or whoever works in your
[448]
office you can create a task
automatically that's assigned to them
[452]
which by the way this this task that
gets generated is going to show up on
[457]
that person's my day or show up in your
my day
[459]
automatically so it's kind of like
having a artificial intelligent

assistant doing pretty much most of the
work as far as sending out email sending
[468]
out text messages we're working on doing
a robo call so you guys can pre-program
[473]
messages on a on a phone and then that
message is gonna send out to the tenant
[478]
in the sequence we're working on adding
a vendor where they can service like a
[485]
five day notice or three they notice 10
day notice however many days is required
[490]
in your States to be sent out and posted
and served to the tenant so we're
[494]
working a vendor working with a vendor
to incorporate that in the improvement
[498]
system so that you never will have to
serve no notice again yourself ok you
[504]
got other people doing it for you and
we're looking to incorporate that into
[508]
Puma
so you guys can build out this sequence
[511]
you guys can build that as long as
sequence you want you guys can build out
[514]
a month long sequence a two month long
sequence where it's constantly reminding
[517]
them to pay and eventually what you guys
can also do is at the end of the
[523]
sequence okay if they don't pay you guys
can automatically send an email to your
[529]
preferred legal professional to
the eviction process or you may handle
[533]
the eviction process yourself in which
in that case you can create a task for
[537]
yourself to do and boom done if you guys
are doing it with the legal professional
[542]
you can actually have it so that you you
can attach a file in this case a copy of
[548]
the lease you can have Puma
automatically attach the lease of the
[553]
tenant and send that off with the the
attorney and you can even set it up to
[559]
where it's gonna automatically populate
an invoice within Puma to pay the
[564]
attorney for their legal fees you guys
see how this is going to save you guys

ton of times ton of energy ton of stress
so that Puma can handle pretty much

everything right pretty cool
so all this is to automate your work

automate your workflow and my goal
ultimately is if you are a landlord

managing your property I want you guys
to you know have this time and freedom

that you guys bought into if you are a
property manager I want you guys to save

money on time managing the property so
that you can take on more account so

take out more units take on more
properties so you guys can manage and

grow your business pretty cool
eventually what we're gonna do is we're

gonna integrate Airbnb automation we're
gonna also integrate website builder so

you don't have to hire a website builder
to do all your stuff you guys are gonna

be able to build websites and sales
funnels inside of Puma for your property

management pretty darn cool so those
those are the things that we're doing on
