Pothole records [utility service locating] with Dashpivot - YouTube

Hi everyone, it's Sam from Sitemate.
Utility locating and pothole records are

visual records of existing or recently
installed utilities usually containing
[9]
non spatial information such as photos
sketches, notes, things like that, and in
[14]
this video we're going to look at how
you can capture and organise your
[17]
utility locating records inside of Dashpivot so that you can quickly refer to
[22]
them and access high-quality safety
records whenever they're required, and

pass that information to the people who
need it.

So we've already set up a pothole record
or utility locating record depending on
[34]
how you name the template, and you see
that nothing has been created just yet

so I'm gonna go ahead and click this
add record" button over here you'll see that

the template has already been set up
with a series of fields so we can start

to fill out some of these, maybe it's our
first pothole, we've got a sketch field

here so this is really handy using the
the tablet or app or on the website of

course we can start to draw maybe this
is a road and we've got some services
[65]
that running down here some utilities
here, and maybe we want to just indicate

how deep they are so maybe it's 800
millimeters deep and we can just we can

pull that across and organise this
information however we would like, we can

pick up the pieces and rearrange them
and we can add shapes and things like

that. The sketch tool is really handy for
for all of that, we've saved that now

onto our form a couple of other things
that we can do is we can add photos so

if we're using the Dashpivot up and we're
out in the field we can click on the "add
[100]
photos" button it'll open up the camera
you can take a photo and then you can
[104]
add a description as you normally would
using the Dashpivot app and then you
[108]
can add some tags if required once you
click "Save" it's going to add those

photos to this form which obviously very
easy to reference later, on as I continue

down the form here we've got some checkboxes, I'm just making this up on the fly

and at the bottom we've got a section
for adding attachments so if we had a
[129]
drawing or a plan of the site which
we've uploaded onto this particular form,

if we're using the Dashpivot app we can
actually mark that up so we can click on

the PDF open up the drawing and we can
zoom in and add some annotations if we
[143]
need to we can mark it up we can add
text all sorts of things, and add that

extra detail once we hit save that's
going to be added to this form and then

once we've filled out the form we can
click "Save" and now we've got our record

sitting here inside of Dashpivot and
it's really easy to send this to someone

if you need to you can click the send
button type in the email address

and email it to them as a PDF or you can
just download the original PDF yourself

using this button here over time you're
probably going to end up with something

that looks a little more like this, we've
got records stored day by day and what's

really handy about Dashpivot is the
ability to convert this we call it a
[187]
'Timeline view' into a register so I can
just click on this register view and it
[193]
will take all of the all of the forms
that we've filled out already and

basically just put them in order and
display all of our fields that we are
[202]
filling out as columns, so you can see
that we've got a column for all of our
[206]
photos that's been added in here, we can
customise this register view by clicking
[210]
this edit columns button we can turn
certain columns on or off or rearrange
[215]
them however we'd like, but I think this
one's pretty good it does become really
[220]
easy to filter for information later on
so if we've got you know a date field
[225]
here we can apply a filter and look for
our most recent potholing records if we
[230]
need to and once we found them we can
also export them, so if I make a
[234]
selection the exporting options appear
at the top we've got an option to export
[239]
it as a CSV if we need to open it up
inside of Excel but we've also got the
[243]
ability to export this whole register as
a PDF or we can download each of these
[249]
individual forms as a PDF as well so
that's all that's all available and

inside of Dashpivot. If you want to get

do that is to go to the templates

section, if you click on add new template
we've

you can get started with so you can

click on choose from free public
template library you can go in there and

search for pothole record or utility
locating record, should be able to find

one in there that you can just use
that's ready to go like I've shown you
