you shouldn't be using

a Gmail account for your business data.

From time to time when
we work with customers
[15]
they come along and they say,
[17]
I'm already on Google for my business,
[19]
and we have to kind of inquire and ask,
[21]
well, are you using your domain name?
[22]
Are you paying for a Google
Apps or a G Suite account?
[27]
And the customer says, no,
I just signed up at Gmail.
[30]
Doesn't everyone get it for free?
[31]
And what seems to then transpire
[34]
is we find out the
customer has just signed up
[36]
for a consumer personal Gmail account
[39]
and inside that Gmail account
they're using it for business.
[42]
Now, there's a few ways
[43]
of kind of bringing in
your business account
[46]
into a personal Gmail account
[48]
and what businesses do sometimes
[50]
is they will forward their email in
[52]
or they'll set up a retrieval
system so it comes into Gmail
[56]
and then goes back out of Gmail as well.
[59]
But that's not quite using
a business Google account,
[62]
you're still effectively
using the Gmail account.
[64]
And the easiest way to tell
if you're using G Suite,
[68]
which is the business version of Google,
[69]
or if you're just using one of those
[71]
personal consumer accounts,
which is just Gmail,
[74]
is to look at your login.
[75]
When you go to Google and you sign in,
[76]
if you sign in @gmail.com
[79]
then you're just using a Gmail account.
[81]
If you're signing in with
your business domain name
[84]
and you're opening up
Gmail or Docs or Drive
[86]
and you're seeing your
business domain name there
[89]
then that means you're on G Suite
[91]
which is the business version of Google.
[93]
Now, let's talk about the risks
[95]
if you are using the
personal version of Gmail.
[98]
Now, Gmail started as a
personal consumer service
[101]
and obviously it's free,
[103]
Google support that with
advertising, that's pretty clear.
[106]
Google don't really do any
nasty stuff with your data
[109]
but they do certainly
make use of that data
[111]
for advertising and for gaining
analytics on their users
[115]
so they can improve the product
[117]
and improve their marketing as well.
[119]
Now, on a personal account,
[120]
because there are literally
over two billion Gmail accounts
[124]
there's basically not really
[125]
much of a support line to go to.
[128]
You do have email support
[129]
but because there are
just so many accounts
[132]
it's next to impossible for
Google to provide any level of,
[136]
let's say, engaged
support for that product.

And so if anything goes
wrong with your Gmail account
[142]
and, for example, you can't
log in, you lose access,
[144]
maybe it gets hacked, maybe
someone takes it off your hands,
[147]
there isn't really a great
way of getting it back.
[150]
There's no one to just
pick up the phone and call
[152]
if something like that goes wrong.
[154]
Now, from time to time
[155]
we are able to retrieve Gmail
accounts if there is a problem
[158]
but for the most part
[160]
once a Gmail account has
gone, then it's gone.
[162]
So if it isn't already obvious,
[164]
if you're storing business
data inside that Gmail account
[167]
that is a pretty large risk,
[170]
because if that Gmail account
happens to disappear on you
[173]
then you can really run into problems
[175]
if you lose all of that business data.

And yeah, sure, there
are some backup solutions
[179]
but I probably just wouldn't
wanna trust that Gmail account,
[183]
particularly if you've got email logins
[185]
and sign ins for your business
[186]
all using that Gmail
account as your login.

The other advantage of working with
[191]
a business G Suite account
instead of using a Gmail account
[195]
is it looks more professional.
[197]
If you're running a business
[198]
and you're using a Gmail
account for all of your emails,
[201]
customers are gonna see that account.
[202]
And you might say, well, Peter,
[203]
I've got my business
email forwarded into Gmail
[206]
and then I'm sending from my
business email address as well.
[208]
Well, yes, that works if you're
doing the forwarding trick
[211]
but when you send a calendar
invite from Calendar
[214]
you're still gonna have your Gmail account
[216]
going out to your customers.
[217]
So it just doesn't look professional.

If you're running a business
[220]
you really should be using
G Suite for your data.
[223]
Now, let's talk about
some of the advantages
[225]
of using G Suite for your data.
[226]
As well as having control
over your Google account,
[230]
which means that when you set up staff,
[232]
when you set up contractors,
[233]
when you set up anyone else
that's not you in the business,
[236]
you have control over their account.
[238]
Many business owners,
[239]
if they're just using a Gmail address
[241]
for all of their business data,
[242]
you go and share a folder with
someone else in Google Drive,
[245]
someone else puts something
[246]
in that folder from their Gmail account,
[248]
and they remain the owner of that file
[250]
which means that they can
delete that file at any time
[253]
and poof, disappears
from the Google account
[255]
and then it's gone.
[256]
And so you don't really have control
[258]
over what other people are doing.
[260]
Now, on G Suite you have control.
[262]
You can assign accounts,
[265]
you can add or remove different people
[267]
from the G Suite account
using the Admin panel,
[270]
and so all access to your business data
[272]
is controlled by you.
[274]
So what that means is
that you've got everything
[277]
secured and locked down
[278]
and so if you're sharing files
[280]
it's all safe within your business.
[281]
And if you're using an advanced feature
[283]
like team shared drives,
[285]
that lets you do even cooler things
[287]
like let your staff
put files into a folder
[290]
but not delete files from a folder.
[291]
It lets you lock down all
kinds of really cool things
[294]
within the Google account.
[295]
So just to wrap it off,

once you're on a G Suite account
[298]
you also get access to support.
[300]
Now, if you've signed
up directly with Google
[302]
you get access to Google Support.
[303]
If you've signed up with

you get access to premium support

and what that means is

as long as you have
access to your domain name

you always have access
to your Google account.

It's very, very rare that Google
would shut down an account

or something gets switched off.

The only time someone loses
access to their G Suite account

is typically if you
forget to pay the bill.

But if something does happen
[324]
and for whatever reason
Google shuts down your account
[327]
or an employee locks you out
[328]
or someone has tried to
hack into the account

and steal access to your data,
[332]
as long as you are in control
of your business domain name
[336]
you can work with a partner like us

And so, at the end of the day,

it's just absolutely crazy
to trust a Gmail account,

and I'm talking about a
personal Gmail account,

with your business data.

You're putting your business at risk,

your business data is at risk.

And so for a couple of bucks a month

that it costs for the business
licenses with G Suite,
[356]
as well as all of the other advantages
[358]
of working with a Google business account,
[361]
you also have control
[362]
and you have access to support
should anything go wrong.

So that's it.

it's better to delegate it

to someone who's done it a million times

and knows all the processes

and can also support you

through the process
answering any questions.
