Create and Format SmartArt - Hierarchy Chart - Microsoft Office 2013 - YouTube

[0]
hello today we're going to talk about
[1]
SmartArt so rather than explain how I
[4]
got to this particular piece of SmartArt
[7]
right here I'm going to create it with
[9]
you so those of you that have toyed
[11]
around with smarter before probably have
[14]
an appreciation for how difficult it is
[16]
to get the shapes looking the way you
[18]
want them to now for those of you them
[21]
not really messed around with SmartArt
[23]
before you're probably going to take
[24]
this for granted and in which case I
[26]
just want you to understand that this is
[28]
going to go well for me it's going to go
[30]
quickly because I have a plan all right
[32]
so not only do I have a plan but I'm
[34]
going to use the text pane and the text
[38]
pane is over here alright so if you use
[40]
the text pane and you have a plan this
[42]
should go pretty easily once it starts
[45]
getting off track though it's almost
[47]
impossible to fix so here's my target
[50]
piece of smarter and we're going to
[51]
create it from scratch over here so here
[54]
I am playing sheet if you want to create
[56]
some SmartArt it's under the insert tab
[58]
and it's right here so SmartArt there
[61]
are many varieties of smarter they all
[64]
have their own unique names I'm going to
[68]
do the hierarchy charts today because
[69]
this is the most difficult ones I think
[72]
a lot of these are pretty fancy but like
[75]
a pyramid is just not that hard to put
[76]
together like for example your cycle
[78]
here's gears right it's called gear so
[82]
here's a piece of smarter it's your job
[84]
to enter text now you can enter text
[85]
directly on the shapes but I always
[88]
advocate for doing that here right I put
[90]
an A to B I put a C right not too
[94]
difficult to put together do your gears
[96]
particularly like gears you can't even
[98]
put more shapes in gears right I'm
[100]
trying and it's not even letting me most
[102]
smarter is easy like this just make a
[104]
choice type some information takes care
[107]
of itself
[107]
now the more difficult ones are the ones
[110]
like this where there's relationships
[111]
between the data so we've got a
[113]
president president has three people
[115]
under this person VP sales has two pure
[119]
people under marketing has two people
[122]
underneath accounting has three people
[124]
underneath right so no these
[125]
relationships these these lines matter I
[128]
showing that there are three people
[130]
these assistant ones not any higher than
[133]
this
[133]
- but know the relationships and so
[136]
creating those relationships is where
[137]
you put some thought into it so here I'm
[140]
heading over to the insert tab and going
[142]
to SmartArt I'm going to go to hierarchy
[145]
or just because I'm going to do the
[147]
first one it's kind of it's in
[150]
middle-of-the-road difficulty one notice
[152]
when you insert SmartArt you just get
[154]
this random relationship here that's not
[156]
the relationship we had before I could
[159]
try and add shapes and realign things
[162]
but I know that's a terrible idea so I'm
[164]
gonna open up text pane and what I
[165]
always do first thing I press the Delete
[167]
key I get rid of you know no I guess you
[171]
got it okay there we go so I just get
[173]
rid of everything and start from scratch
[174]
that is by far the best way to do this
[177]
so the top of that food chain was the
[179]
president and so if I want to create a
[182]
new shape and I'm working in the text
[183]
paint I press ENTER and so the next one
[186]
would be the VP sales notice that they
[191]
are on the same link if I press tab it
[194]
indents it and noticed it now it is
[196]
below it you can see it's below it with
[198]
the indentation here and you can see
[200]
that indicating below as well the next
[203]
one was VP marketing I'm just going to
[205]
press ENTER and since I am one level
[207]
down the next shape is going to be one
[209]
level down which is good see this is not
[212]
that hard I mean just because I know how
[215]
it works if I press ENTER again I'm
[216]
going to do my next VP and this is VP of
[220]
accounting
[221]
alright so notice I've got that
[223]
relationship I've got three children
[225]
underneath the president right three
[227]
children underneath the president I had
[229]
a plan and I'm not trying to change
[231]
things I'm just doing it right the first
[232]
time which is really the only way I can
[234]
advise so now we got to get to the part
[236]
where I do these children all right and
[239]
there's no wrong order to do that let's
[241]
just start with sales that make sense to
[243]
me right so sales had two children so
[245]
I'm gonna click on sales I'm gonna press
[247]
enter notice that's not the relationship
[249]
I'm going for if I press tab it's now
[251]
underneath it and we're getting one step
[253]
closer
[254]
and so this was underling one and I'm
[258]
gonna press ENTER again and create
[259]
another child underling two and so
[262]
notice if I just have some thought and I
[264]
know where these things are going to go
[266]
then I just put them in the right place
[267]
there's no adjusting marketing had two
[270]
children as well some of the presenter
[272]
I'm going to tab in and so this is a
[275]
minion one and minion - and then
[280]
accounting had three children and then
[282]
these were assistant one assistant two
[288]
and assistant three and that's the chart
[292]
I notice I didn't swing anything around
[295]
there was no right clicking and dragging
[296]
or anything like that I just
[298]
thoughtfully used the text pane to put
[301]
this together now it's pretty boring in
[304]
blue so if I want to make this look like
[306]
this
[306]
well I selected my smarter and I went to
[310]
change colors and I did colorful one
[312]
which is just what I normally do where
[315]
these are just different color schemes
[316]
do what you want to do here's colorful
[317]
one and I also went into styles and I
[321]
went to 3d polished which is just kind
[324]
of the standard that seems like the
[325]
standard that most people ask Forks is
[327]
relatively easy to find and now that
[329]
chart is that chart and this one's just
[331]
bigger and these things tend to resize
[333]
on their own now one thing I don't like
[335]
about this chart that's just how it
[337]
turned out and that's okay but uh this
[340]
is not what you would call a balanced
[341]
tree I think it looks better and it's
[343]
more accurate depiction if you balanced
[345]
it so what I'm going to do is make a
[347]
decision about what needs to be balanced
[349]
let me just balance a piece of it first
[351]
to show you what that looks like so if I
[352]
select this chunk of the tree you can do
[355]
it from here or there you go to layout
[356]
you go to standard that's balanced right
[360]
I mean that's more clearly illustrating
[361]
that hey these guys are all in the same
[363]
level like this it kind of looks like
[365]
minion ones above minion two you
[367]
actually have to think about it for a
[368]
second so I'm just going to select my
[370]
that whole part of the tree and balanced
[373]
it like that
[374]
and you can see why this is kind of
[375]
better because it's larger and it's
[377]
easier to read but this is a more
[379]
accurate depiction so it all really
[380]
depends how many children are on the
[382]
level but I think this is probably what
[384]
you would want probably a little depends
[387]
like this is more accurate this is
[389]
easier to read notice what I did not do
[392]
let's just start messing around with
[394]
this one so I've seen this a million
[396]
times people will grab a shape and I'll
[398]
start kind of moving in
[399]
around trying to balance it themselves
[401]
look at those lines right this is awful
[404]
I mean it is terrible so my point is use
[407]
those tools to align it for you right I
[409]
can't even get it and here's the fun
[411]
part
[411]
you're like okay I guess that's not too
[413]
good I at one point I should probably
[415]
decide to give up if I try and balance
[417]
it now
[418]
I can't isn't that just the weirdest
[422]
thing I don't know really why it works
[423]
like that but once you start monkeying
[425]
around with them then these layout tools
[427]
are worthless to you so don't mess up
[429]
your chart by trying to get too cute
[431]
with it so that's smart art and that
[434]
will probably looked easy if it's the
[435]
first thing you've ever seen it was only
[437]
easy because I use the text pane and
[439]
because I knew what I was trying to do
[441]
this is about relationships it's not
[443]
about what it looks like so much if you
[445]
create the proper relationships
[448]
everything should take care of itself
[450]
that's smart art thanks for watching
