[0]
Hi everyone, Kevin here.
[1]
Today I want to show you how you can聽 use Microsoft Teams in under 10 minutes.
[7]
What is Microsoft Teams?
[8]
Well, it has all of your chats,聽 meetings, files all in one place,聽聽
[13]
and in a moment, I'll show you聽 exactly what all of that means.
[16]
If you want to jump around this video,聽 feel free to use the timestamps down below聽聽
[20]
in the description. Now we only have 10 minutes,聽 so let's jump on the PC and let's get started.
[25]
To join this happy group of people聽 and start using Microsoft Teams.
[28]
Well, first off, your organization聽 needs Microsoft Teams.
[31]
If your school or workplace does not yet have聽 Microsoft Teams, you can sign up for free.
[36]
However, chances are you're just trying聽 to get access to Microsoft Teams,聽聽
[40]
in which case you can simply click on sign聽 in. To make it even easier to sign in,聽聽
[44]
you could simply head to the website聽 teams.microsoft.com and when you go there,聽聽
[49]
that'll bring you to the sign in page where you聽 can sign in with your school or workplace account.聽聽
[54]
Next, you'll likely see a screen that聽 prompts you to get the Teams desktop app.
[58]
The teams desktop app is more feature rich,聽聽
[61]
and it also has all of the latest聽 and greatest functionality.
[64]
If you're going to be using teams聽 a lot, I recommend getting the app.
[67]
However, you can also use the Web app.
[70]
For the rest of this tutorial, I'm聽 going to be using the desktop app.聽聽
[73]
If you decide to use the web app, you'll聽 have most of the core functionality.聽聽
[78]
If you want to update to the聽 desktop experience at any time,聽聽
[81]
over in the bottom left-hand corner,聽 there's a download desktop app icon.
[85]
You can simply click on that and then you can聽 download the desktop app. Now that we have聽聽
[89]
Microsoft Teams, I want to take a moment to orient聽 you to the experience. Over on the left-hand side,聽聽
[95]
this is called the navigation bar and in a moment聽 we're going to go through each one of these to see聽聽
[100]
what they can do. Now this one here is called聽 Teams and the app itself is called Teams,聽聽
[105]
so why don't we start with this one,聽 it's probably a pretty important one.
[108]
Now you might be wondering, what is a team?
[110]
Well, the simplest way to describe it is聽 a team is simply a collection of people,聽聽
[115]
content, and also tools, and that'll be based聽 on a project or group, and in a moment, we'll go聽聽
[119]
through an example and see what that is. But first聽 off, we need to add a new team. To add a new team,聽聽
[125]
at the very bottom of this pane here, you'll聽 see an icon that says join or create a team.
[129]
Let's click on that. Within join or create a聽 team, I can create my very own team or I can聽聽
[134]
join an existing team. In this example,聽 let's go ahead and create a new team.
[138]
Next week and create a new team聽 from scratch or from an existing聽聽
[142]
team. Down below, you'll see a whole bunch of聽 templates that you can start a new team from聽聽
[147]
and this will also help you聽 better understand what a team is.
[150]
You can have a team to manage a聽 project, or maybe you want another聽聽
[153]
team to onboard new employees for your聽 organization, to manage an upcoming event.
[158]
For this example, we need to onboard some new聽 employees to the Kevin Cookie Company, so I'm聽聽
[162]
going to use this template to set up my new team.聽 By using a template, it'll automatically create聽聽
[168]
channels for you and in a moment we'll聽 see what these different channels are.
[171]
It also adds some apps to this team.
[174]
All of this looks good, so let's聽 click on start. On the next screen,聽聽
[177]
you can define whether it's聽 a private or a public team.
[180]
As a private team, only those people who you聽聽
[183]
invite can participate in your team.聽 If you set it to public, anyone in聽聽
[187]
your organization is able to join. Now I'm all聽 about transparency, so let's go with public.
[192]
Next I need to type in some details聽 about my new team and a description.
[196]
All of that looks good, so I'll click on create.聽聽
[198]
Now that I've finished adding my聽 team, over on the left-hand side,聽聽
[201]
I see my new team in this list. If I click on聽 the ellipsis, I can add members to my team.
[206]
I can even get a link to the team聽 that I can then share with others.
[210]
Once the project's over and I no longer聽 need the team, I can even delete it.
[214]
Within my new team, I have a set聽 of four different channels and聽聽
[218]
what are channels? Well it allows you to聽 organize by specific topics and projects.
[223]
So here with my new employee onboarding, we have聽 a channel where employees can come together and聽聽
[227]
they can chat, and I can keep that separate from聽 my training channel, where I'm going to upload all聽聽
[232]
of our training materials. So once again, simply聽 a way to organize content and conversations.
[238]
Now that we know the basics of teams and channels,聽 why don't we jump into the employee chat channel聽聽
[243]
to see if there are any conversations. Within the聽 employee chat channel, here at the very bottom,聽聽
[248]
I can kick off a new conversation, but here聽 I see that Nestor, one of our new employees,聽聽
[253]
already posted something and I can click on reply聽 and this will create a threaded conversation.
[259]
Let me go ahead and type in a response to Nestor.
[262]
Now that I've typed in my response, if I聽 really want to get Nestor鈥檚 attention or聽聽
[266]
anyone else鈥檚 attention, I can type in the聽 @ symbol and then I can select a person.
[270]
So here if I type in @ Nestor, he's going to聽 get a notification that there is a chat message聽聽
[275]
waiting for him. Along with @ mentioning聽 an individual, I could also type in @ and聽聽
[280]
I can @ mention the entire channel, so here I聽 could simply say employee chat and anyone who's聽聽
[286]
part of this channel will get a notification.聽 Here on Nestor鈥檚 screen, we can see an icon聽聽
[290]
indicating that there's a message for him and聽 here we see this red @ symbol indicating that聽聽
[295]
he was @ mentioned in the conversation, so聽 it's an easy way to get someone's attention.
[300]
As I'm having a conversation with Nestor,聽聽
[302]
I can also format my text to make聽 it stand out a little bit more.
[306]
Here again, I'll click on reply and聽 there's the format text icon down here,聽聽
[310]
and you can use all of the聽 different standard formatting tools.
[313]
I've now formatted some text and I want to make聽 sure Nestor checks out our training document聽聽
[318]
and I'm not just limited to typing in text. Here,聽 I can also drag and drop files over and then I聽聽
[324]
can include a file as part of this conversation.聽 To access this file, Nestor can click on it here聽聽
[329]
within the conversation and he could also go up聽 above and he could click on files where here too聽聽
[334]
you can see all of the different files from聽 across all of the different conversations.
[339]
Within the files view you can also聽 create a new document directly from here,聽聽
[343]
and you can also upload an existing document.
[345]
Every single channel has its own files tab, and it聽 also has its own posts tab. So once again, using聽聽
[352]
channels is simply a way to organize different聽 conversations and files. To stay on top of the聽聽
[357]
Teams and the channels that matter to you, you can聽 reorganize Teams by simply dragging and dropping.
[362]
Also, if there's a Team that聽 no longer matters to you, you聽聽
[365]
can click on the ellipsis, and you could hide it.
[367]
Here I want to make sure I stay on top of the聽 employee chat. I can click on that Channel, click聽聽
[371]
on the ellipsis and then I could pin it to the聽 top so I have easy access back to that Channel.
[375]
Back over on the navigation bar on the left-hand聽 side of the, the top icon is for activity.
[381]
This is where you get notifications聽 about any recent activity from Teams,聽聽
[385]
meetings, files, or apps.
[387]
Here I see that Nestor @ mentioned聽 me twice and I can follow up on that.
[391]
Over here, I can also filter all of my activity聽 if I click on the ellipsis here I can filter聽聽
[396]
down to specific types of activity. Over on聽 the left-hand side in the navigation bar,聽聽
[401]
the next icon is for chat and a chat is ideal聽 for communicating and sharing in smaller groups.聽聽
[408]
Up here on the top, I can kick off a new聽 conversation by clicking on this icon. Here,聽聽
[412]
I'll type in Patty and then down聽 below I can type in my message.
[416]
Now that I鈥檝e kicked off a chat with聽 Patty, I can turn this into a video call.
[420]
I can also simply set it into a voice聽 call and here I can share my screen.
[423]
I could add additional people to the conversation聽 and here I could even pop out the chat,聽聽
[428]
so let's say I want to jump into a team and聽 continue chatting, I can do that here. On the聽聽
[432]
navigation bar, the next icon is for calendar, and聽 here's where I can review my upcoming calendar.
[439]
All of this is synced with Outlook. If I聽 want to schedule a new meeting, up in the聽聽
[443]
top right-hand corner, I can click on this icon聽 that says new meeting. Within meeting details,聽聽
[447]
I can type in a subject for my meeting. I聽 could also include participants for my meeting,聽聽
[452]
type in a description. It's pretty much聽 the same flow as within Microsoft Outlook.
[456]
Once I'm all done, I can click on the send button.
[459]
This will automatically include a join link for聽 Microsoft Teams so we can all meet virtually.聽聽
[464]
Here now I see the new event on my calendar and聽 when I click on it, I can now join the meeting.聽聽
[470]
Before joining the meeting, I can configure聽 my video and audio options. Here, for example,聽聽
[475]
I'm going to turn on my webcam hello. I can聽 also turn on different background filters.
[480]
For example, I could blur my background聽 or I could throw in a locker room here.
[484]
Nothing like having a meeting from a locker room.
[487]
I could also go through and configure all of my聽聽
[489]
audio settings and once I'm ready to聽 join, I can simply click on Join Now.
[493]
Now that I'm in the meeting, I have a few聽 different options here across the top bar.
[497]
Here I can see the participants to see聽 everyone else who's already in the session.
[502]
I can also have a chat with all聽 of the different participants.
[504]
I can raise my hand. Within the ellipsis,聽聽
[507]
one of the more interesting ones is I聽 can kick off a recording of this meeting.
[512]
Also over on the right-hand聽 side, I can share content with聽聽
[515]
all the participants. I could share聽 my whole desktop, a specific window,聽聽
[519]
and I even get access to a whiteboard. Once聽 I'm all done with my meeting, I simply go to聽聽
[524]
this red button right here and I can click聽 on leave. Back over on the left-hand side,聽聽
[529]
back in the Navigation Pane there are two more聽 different icons that we're going to look at.
[533]
The first one is calls and this is where you聽 can call other people in your organization.
[538]
You'll see a history of all of聽 your calls. You can go through聽聽
[540]
and look at your contacts and you could even聽 listen to voicemail. Down underneath that,聽聽
[545]
there's also the files view. Here you can聽 see all of your files within OneDrive,聽聽
[549]
and you can see all of the files that you聽 have access to within Microsoft Teams.
[553]
All right, well, if you learned聽 how to use Microsoft Teams,聽聽
[557]
please give this video a thumbs up.
