what exactly is the cloud well it's not

a mystical thing and I'm going to show

you that in just a couple minutes so my

let's start what is the cloud I pulled

this definition straight from the

Microsoft Azure website and I will read

it because I think it's important but
[52]
essentially it's a term used to describe
[54]
a global network of servers each with a
[57]
unique function these servers are
[59]
designed to either store and manage data
[60]
run applications or deliver content or a
[63]
service such as streaming videos web
[65]
mail office productivity software or
[68]
social media instead of accessing files
[70]
and data from a local or personal
[72]
computer you are accessing them online
[74]
from any internet capable device now
[77]
what I think about when I read this
[78]
definition is the first accounting firm
[81]
that I worked at out of college we had a
[83]
server sitting in the closet literally
[85]
and that kind of fed the the internet
[87]
and all of our applications internally
[90]
in the firm now when we move to the
[92]
cloud what you have is are these things
[95]
called server farms or data centers
[97]
where basically you've got a bunch of
[98]
servers located in one location and
[102]
those servers are being shared by tons
[105]
of different people different companies
[107]
things like that so that's kind of what
[109]
I think about it's a difference of
[110]
yesterday and today right all right so
[113]
what is cloud accounting and I wrote my
[114]
own definition and again I think it's
[116]
important to go ahead and read this to
[118]
just kind of convey it this but my
[121]
definition of cloud accounting and it's
[122]
if you're going to Google it you're
[123]
gonna find different definitions but
[125]
here is my definition this is the way
[127]
that soar operates we operate based off
[130]
of this exact definition this is how I
[132]
deliver services to Mike
[133]
clients but here it goes the
[135]
simultaneous leveraging of an
[137]
internet-based
[138]
general ledger in other words accounting
[140]
software application and internet-based
[142]
business applications for the seamless
[144]
collection combination and processing of
[147]
financial data cloud accounting is the
[149]
development and use of an internet-based
[151]
ecosystem for a company's financial data
[153]
cloud accounting is not the use of a
[156]
software accessed via a remote desktop
[158]
or screen sharing software nor is it the
[161]
storage of financial data online without
[163]
the connection of and use by other
[165]
internet-based financial applications
[167]
what does this mean so what this means
[171]
is the difference of in cloud accounting
[173]
is using quickbooks online versus
[175]
QuickBooks desktop that's one piece of
[177]
it the next effort the next piece of
[179]
this is hey you know I go well let me
[182]
backtrack here but I go to these
[183]
accounting conferences firms talk about
[186]
oh yeah we're on the cloud yeah we've
[187]
got access to cloud yada yada yeah
[189]
sometimes the definitions for what what
[192]
those firms are saying varies widely
[194]
so some firms will think that their
[197]
cloud-based accounting firms just
[199]
because they've got remote desktop
[201]
software that can they can remote into
[203]
the their clients desktop application
[206]
some of them think it's as simple as
[208]
having Dropbox which is that that's not
[212]
it
[213]
it's not it at all so my definition of
[217]
cloud accounting is the delivery of
[219]
service or delivery of services or of an
[222]
accounting function with a within an
[224]
ecosystem so various different apps all
[226]
connected all talking to each other in
[229]
order to deliver your company's
[230]
financial product ok and I'm gonna talk
[234]
a little bit more about that so one of
[236]
the questions I got when I was preparing
[237]
these slides X actually I was talking to
[238]
a friend of mine and the question was
[241]
well like where where is the cloud and
[243]
this is it the answer is it's everywhere
[245]
it's an advice I was saying a couple
[247]
minutes ago it's in these data centers
[248]
right and so here is the map from Amazon
[252]
Amazon Web Services is probably one of
[254]
the biggest suppliers of the cloud
[256]
they're huge
[258]
right they even supply the the service
[260]
for the US government and so this is
[263]
their map from their website on and it's
[266]
linked in the
[267]
in the shownotes of their global
[268]
infrastructure so as you can see it's
[271]
everywhere and there are pockets of
[273]
concentrations in Europe America Asia
[275]
but you know all over the place so this
[278]
these are their data centers and these
[280]
data centers I think it's safe to say
[281]
are providing a very significant chunk
[283]
of the Internet
[284]
to the citizens of the world okay so the
[289]
next question is well can AWS be
[291]
deployed locally so these applications
[293]
are using AWS right as their back-end
[297]
you know cloud provider and you know
[302]
you're probably wondering well you know
[304]
if you're developing this application is
[307]
that going to be hosted in your using
[309]
AWS is gonna be hosted everywhere is
[310]
gonna be hosted locally can you decide
[312]
Wow here is Amazon subscription cut and
[319]
copied from their website and their
[322]
answer to that question so what it says
[324]
here and I highlighted it customers can
[326]
share their interest for local region
[327]
delivery request service roadmap
[329]
information or gain insight on service
[331]
independently and you got a sign an NDA
[333]
of course right but what this says
[335]
basically is if you're going to deploy
[338]
AWS free application then you can
[339]
request that your deployment is deployed
[342]
locally so if you have a us-based
[344]
application you can theoretically based
[346]
on this language request that AWS only
[349]
use us-based services so your data is
[351]
not going and you know over yonder
[353]
somewhere so back to cloud accounting
[357]
how popular is cloud accounting and this
[360]
is a quarter post that I did a couple
[362]
months ago I basically just pulled the
[365]
figure straight out of the Intuit
[367]
quarterly report I believe is what it
[369]
was based on the date and it shows that
[371]
cloud accounting is really really
[373]
popular now I think the best use case or
[377]
best example here is to compare
[378]
quickbooks online to QuickBooks desktop
[380]
everybody knows quickbooks we've got the
[382]
data for both products this is a simple
[385]
comparison so as of the fall or late
[388]
fall early winter of 2018 quickbooks
[391]
online had 3.6 million users QuickBooks
[394]
desktop 500,000 users okay that's that's
[397]
a huge difference the vast majority of
[399]
QuickBooks users are
[400]
in fact online so cloud accounting I
[403]
would venture to say is gaining traction
[405]
it is the way of the future so again
[410]
when we think about cloud accounting
[412]
remember I talked about the ecosystem
[413]
well the ecosystem means apps other apps
[416]
is so quickbooks plus whatever so this
[421]
is an article I believe this is also
[422]
from November but quickbooks past
[424]
quickbooks online they're after they've
[426]
got to afterwards one online one desktop
[428]
and again i think this is the best kind
[429]
of use case as far as showing the
[433]
contrast between desktop and online
[435]
because they've got two separate app
[436]
stores two separate applications okay
[438]
this is a great this is a great example
[440]
so there's over 600 apps sitting in the
[443]
quickbooks online app store 600 ok
[446]
business applications 600 of them what
[449]
about desktop well if you go and you
[453]
actually go to the QuickBooks desktop
[455]
app store it shows you there on the Left
[457]
how many different apps are in each of
[459]
these categories right it's about 200 so
[462]
the online app store is about 3x the
[465]
size of the desktop app store so we've
[467]
got 3.6 million users on online plus 600
[471]
apps 500 thousand users on desktop plus
[474]
200 apps that's pretty powerful
[479]
now cloud accounting why it's awesome
[481]
this is the part that I love and talk
[483]
about the ecosystem right because it
[484]
allows for automation now this is a
[486]
screenshot directly from zapier if you
[488]
go and you search for QuickBooks you
[490]
will see the only result that you get is
[492]
quickbooks online you do not get
[494]
QuickBooks desktop so if you think about
[497]
the thousands and thousands of apps on
[498]
zapier and if you're not using zapier i
[500]
it'll change your world I promise go
[503]
check it out it's cheap and it's a great
[505]
way to automate workflows in your
[507]
business but you'll notice there's no
[509]
QuickBooks desktop here so if you got
[510]
any of these number of app these
[512]
thousands of apps are using in your
[513]
business or even personally and you want
[515]
to automate workflows this is one of the
[518]
best places to start it's similar to
[519]
Microsoft flow it's another good one
[521]
automate that IO it's another good one
[524]
but all of these different automation
[525]
services and that's what zapier is can
[528]
connect to QuickBooks Online and then
[529]
you can connect these various apps
[531]
together without code no code
[534]
and that's important drag-and-drop
[536]
drop-down type boxes super easy now if
[540]
you are a coder if you do know how to
[543]
code QuickBooks Online has an API the
[545]
various cloud applications a lot of them
[547]
have api's you can connect them yourself
[549]
so if these integrations aren't built
[551]
you can go build one yourself feel free
[552]
knock yourself out but you know if
[555]
you're using some of the more commonly
[557]
used applications in your business and
[558]
you have a cloud accounting software as
[560]
kind of the hub think about a think of
[562]
it think about it as a hub-and-spoke
[564]
type deal the hub is going to be your
[566]
cloud accounting software and the spokes
[568]
are going to be your different business
[569]
applications that kind of circle around
[572]
that and talk to your accounting
[573]
software so you can combine data ok I
[576]
think that's a pretty good visual and
[579]
you know you can really only accomplish
[581]
that online not so much desktop like
[583]
it's definitely not in the in the robust
[588]
way that you can online so cloud
[591]
accounting allows for automation as I
[592]
said if Xavier being the best example
[595]
these are a bunch of different apps I
[597]
pulled this slide from a YouTube live

that I did a few months back where I

showed a use case of how cloud
[604]
accounting works how I'm using it in my
[606]
business and by cloud accounting I do
[607]
mean accounting software plus different
[611]
business applications ok and user this
[613]
is stuff that I'm sure that a lot of you
[615]
use all the time
[617]
formstack Evernote Google Forms Google
[621]
sheets and in that video I connect a
[623]
couple of the hub spots on here and in
[625]
that video I connect a couple of those
[627]
straight to QuickBooks I'll show you how

the workflow goes there you go this is

the video that I did a couple of months

basically meant as a thought exercise I

thought expansion exercise so this is

what I do think about you know what I do

context of your business okay that's

basically without videos trying to say

so again the bet in the best use case
[674]
quickbooks online because it's so widely
[677]
used as far as accounting software goes
[679]
but where is the quickbooks online cloud
[682]
and this is copied straight out of the
[684]
into it into its the parent company of
[685]
quickbooks annual report and i will read
[688]
this because again i think it's really
[690]
important but says we continue to
[692]
execute on a multi-year plan to
[693]
transition the system's networks and
[695]
databases required to operate these
[696]
online offerings to Amazon Web Services
[699]
so quickbooks online the biggest
[701]
probably most widely use small business
[704]
accounting software packages Amazon Web
[707]
Services we already talked about Amazon
[708]
Web Services where they service where
[709]
their servers are yada yada yada
[711]
so I continue currently several of our
[713]
core online offerings are using AWS the
[715]
remaining online offerings are housed in
[717]
data centers located in geographically
[719]
diverse locations so into it and there's
[723]
are portions of the animal report we're
[724]
into it talks about they've got some
[726]
data centers that they operate
[727]
themselves one of them I believe is in
[730]
Texas and they just sold one in
[731]
Washington but a lot of their a lot of
[735]
their offerings were sitting on AWS so
[737]
that's why that Amazon piece is
[738]
important that I talked about a couple
[740]
minutes ago so I know this has probably
[745]
been on your mind since you tuned into
[748]
this but how secure is the cloud and the
[751]
actual answer is well depends right the
[755]
best piece of advice that I would give
[757]
is if you were gonna implement
[758]
cloud-based applications into your
[760]
business you should do your research so
[763]
a lot of these applications of your on
[766]
their website they'll tell you about
[767]
their security measures or
[768]
certifications yada yada yada
[770]
I think that's important to read and
[771]
it's important understand so the
[773]
questions that I would ask are what
[775]
level of encryption are you using in
[776]
your application what different
[778]
certifications do you have how what
[783]
back-end data center you are using are
[785]
using AWS how how are those centers
[787]
secured if they're not AWS even if they
[790]
are AWS I think maybe go research and
[792]
see how they're secured I know something
[795]
I was reading about either it was either
[796]
on the AWS website or is on the Intuit
[798]
report I don't recall but says the
[800]
data centers are secured by you know
[803]
like physical security so what does that
[805]
mean these are all important questions
[807]
to ask me I think you have to consider
[808]
it on a application by application basis
[812]
I would say do your research reach out
[815]
to the reps ask questions but get
[817]
comfortable with it and the other thing
[819]
that I'll say is when you move to the
[822]
cloud basically what you're doing is
[823]
you're outsourcing your security right
[825]
now if you're sitting in your office and
[829]
you've got QuickBooks desktop sitting on
[832]
either a server that's in your office or
[834]
sitting on your desk top of your
[836]
computer
[836]
well that can get hacked too right
[840]
there's people everywhere trying to hack
[842]
everything so you what you're doing in
[846]
that scenario is you're on loading the
[848]
data security of your firm or your
[851]
company and so you know I think you need
[855]
to ask the question look these
[857]
applications that I'm using or want to
[859]
use they're taking these measures to
[860]
secure my data here are the measures
[862]
that I'm taking to secure my data who's
[863]
better good question but you've got to
[866]
consider that for yourself all right
[868]

thoughts I did realize when I was

the future present meaning look at the

number of users who are on the cloud
[889]
look at the number of users who you're
[890]
using desktop the cloud accounting is
[893]
much much larger okay it's the way of
[896]
the future we're not putting the genie
[898]
back in the bottle it's not happening so
[899]
it's inevitable and all accounting
[901]
software and service providers move to
[903]
the cloud that's that's absolutely gonna
[905]
happen you know when we think about
[908]
machine learning AI yada yada yada those
[910]
things are all mended by the use of the
[912]
cloud remember I talked about how we can
[913]
connect these different applications and
[915]
things like that access to data 24/7
[918]
access yada yada yada well box that -
[922]
those things are all made easier and
[924]
more robust by the use of the cloud and
[928]
so that Genie is absolutely positively
[930]
not going back in the bottle and you'll
[933]
see you'll see that
[934]
topics in the news all the time they're
[936]
all interrelated so number two the cloud
[938]
rule of the cloud allows for increased
[940]
automation and data connectivity I just
[941]
talked about that API is the use of
[944]
zapier different automation software's
[945]
things like that and number three so
[948]
this is my final point but generally
[950]
cloud software is secure but do your due
[952]
diligence do your own due diligence read
[954]
the security terms on the websites I've
[957]
included the one for QuickBooks Online
[960]
in this slide deck you'll see that on

the next slide it's gonna be also it's

it's important to read it's interesting

quite frankly but then that allows you

to compare quickbooks online to

different apps different apps to each

other yeah yeah a yachtie

but educate yourself you want to be

asking what level of encryption is the

software provide where the data centers

are they using ATO USA now using AWS so

using Microsoft cloud this is a
[983]
different service provider who knows but

ask the question it's important to

understand because then you can

understand the security and then does

the company have any sort of
[991]
certifications talked about that as well

and then remember your desktop computer
[994]
and your homebrew server can be hacked

as well so do you want to end source for

your data security you want to outsource
[1001]
today's security who's going to do a
[1002]
better job you have the resources to
[1004]
insource it and do as well do it as well

as a cloud provider account you gotta

answer that for yourself so here are the
