seem a lot clearer invoicing is an

essential part of any business whether
[44]
you're working for yourself for a
[46]
corporation if you want to get paid
[48]
you've got to know what invoices and how
[50]
to use it so what is an invoice let me
[52]
explain a normal business transaction
[56]
involves two parties a buyer and a
[59]
seller the seller provides goods or
[61]
services to the buyer and in return they
[64]
want to get paid this is a transaction
[66]
so that's the whole point so the buyer
[68]
owes money to the seller how much
[70]
exactly and what specifically are they
[72]
paying for and how long do they have to
[74]
make the payment to answer all of these
[76]
questions the seller sends them an
[78]
invoice which sets out all of this
[80]
information so the buyer knows what they
[82]
owe
[82]
they've gone itemized list of all of the
[84]
goods and services that they're paying
[86]
for and they know the terms of the
[88]
transaction they're happy so they send
[90]
the money to the supplier and the
[91]
transactions complete I've got bills
[93]
I've got to pay bills and invoices are
[97]
actually the same thing they relate to
[99]
the document that is sent to the buyer
[101]
to request the payment for the goods and
[103]
services that have been provided by the
[104]
seller right so now I've got a feel for
[106]
invoices are but why are they important
[109]
well for starters and we've touched on
[111]
this already sellers want to get paid so
[113]
it's important to them that invoices are
[116]
sent out as early as possible so they're
[118]
not waiting around for that cash the
[120]
government is also keen on invoices most
[122]
countries charge some form of sales tax
[125]
on transactions involving taxable goods
[127]
and services GST v80 state or provincial
[131]
tax you might have heard of some of
[132]
these an invoice
[134]
a record of the transaction that splits
[136]
out and identifies the sales tax so
[138]
they're actually required by law for
[140]
transactions involving registered
[142]
businesses if you'd like to know the
[144]
specifics then I recommend you check out
[146]
your local tax authorities website from
[148]
an accounting point of view invoices are
[150]
also important because they trigger the
[152]
accounting entries in the books of both
[154]
the buyer and the seller they're used to
[156]
track accounts receivable and accounts
[157]
payable so we know what invoices are and
[160]
we know that they're important but what
[161]
it actually look like let's create one
[163]
and find out there are plenty of ways to
[165]
make invoices Google sheets actually has
[168]
a built-in invoice template if you need
[170]
to fire one off quickly but if you want
[172]
to be more organized and have the
[174]
ability to track payments and make
[176]
reports then I recommend use some sort
[178]
of cloud accounting software like
[180]
QuickBooks Online Xero or FreshBooks
[182]
I'll link to all of these down below

here we've got an invoice that I've
[186]
thrown together using the sample company
[187]
from QuickBooks Online this is a very
[189]
typical invoice layout so it's a great
[191]
place for us to start and run through
[193]
all of the key features first of all
[195]
we've got the names and addresses of
[197]
both the buyer and the seller who's this
[199]
transaction between well in this example
[201]
we've got Craig's design and landscaping
[203]
services selling two cool cars and on
[206]
the other side we've got the invoice
[207]
number 103 8 this is a unique number
[210]
that identifies the invoice usually
[213]
invoice numbers are sequential so the
[214]
next invoice raised by this company
[216]
would most likely be 103 9 below that we
[219]
have the invoice date in this case it's
[222]
the 17th of Jan this is the day that the
[224]
invoice was created and it's critical to
[226]
include it because it starts the
[227]
countdown when the payment is due from
[229]
the buyer and how long have they got
[231]
well that's determined by the sale terms
[233]
which in this case is net 30 days so the
[235]
whole payment is due within 30 days of
[237]
the invoice date that's a common wait
[239]
time but terms can vary depending on
[241]
what's been agreed 30 days after the
[243]
17th of Jan is the 16th of February day
[246]
that we can also see here next we have
[248]
the description of the goods and
[249]
services that this invoice relates to in
[251]
this case it appears to be some kind of
[253]
custom design work it's best to be as
[255]
specific as possible in the invoice
[257]
description because you don't want to
[259]
cause any confusion and delay that
[260]
payment to the right of the description
[262]
we have the quantity rate and amount
[264]
here the service has been provided just
[266]
once and the amount
[268]
per-unit was for 350 dollars so in this
[270]
case both the amount and the subtotal
[273]
are for 350 dollars below that we've
[275]
tacked on a sales tax of 8% because the
[278]
taxable service has been provided that
[280]
comes out to $28 and that leads us with
[282]
an invoice total inclusive of tags of
[286]
378 dollars before we wrap up this video

I'd like to answer four common questions
[292]
that people tend to have when it comes
[293]
to invoices question 1
[295]
when should I invoice invoices are most
[297]
commonly sent out after the goods and
[300]
services have been provided however they
[302]
can also get sent out before depending
[304]
on what's been agreed between the two
[305]
parties however the accounting treatment
[307]
in each situation is different question
[310]
2 our invoices and sales receipts the
[312]
same thing the short answer is no
[315]
however this is confusing because there
[317]
are a few similarities both serve as
[319]
evidence of a transaction and both are
[321]
produced by the seller and given to the
[323]
buyer however the key difference is then
[325]
invoiced as a request for a payment so
[327]
it's issued before the payments be made
[329]
where is a receipt that's issued after
[331]
question 3 what's the difference between
[333]
a sales invoice and a supplier or a
[336]
purchase invoice well they're actually
[338]
the same thing they're both invoices the
[340]
difference in their names depends on
[342]
your perspective if you're the seller
[344]
then you call it the sales invoice and
[346]
if you're the buyer you'd call it a
[347]
supplier or a purchase invoice finally
[349]
question 4 is an invoice legally-binding
[351]
in general no they're not an invoice by
[354]
itself isn't legally binding if they
[356]
were then what would stop me from just
[357]
making all the money by just pouring out
[359]
invoices to whoever you want in order
[361]
for them to become legally binding both
[362]
the buyer and the seller have to agree
[364]
on the terms I can't speak for the
[366]
specifics of your country but in general
[368]
it's important that both sides have
[369]
evidence of the agreement at least an
[371]
email or better yet in a signed contract
[373]
you don't want to be that person that
[375]
gets in a situation where the client or
[377]
customer is refusing to pay because that
[379]
sucks
[380]
pretty bad I hope that helps clear up
