So if more than one person is using your聽 Mac each person should have their own聽聽

User Account. In addition, even if it's just聽 you using your Mac there maybe some reasons聽聽
[29]
why you may want to have a second user聽 account as well. To create a User Account聽聽

go to System Preferences. Then Users &聽 Groups. Here on the left you'll see a聽聽
[39]
list of all of the current User Accounts.聽 At the top you should see Current User,聽聽

and that's the account you're logged into now.聽 Then you'll see Other Users under that. You may聽聽

need to expand this list. To change anything here聽 you need to Unlock by entering your password.聽聽

Now you can change anything for anyone of these聽 accounts. You can also Add a new account with the聽聽

Plus button here. When you add a new account you聽 get to choose between Administrator or Standard.

Now the main different between Administrator聽 and Standard is that an Administrator Account聽聽

can create and remove other user accounts, also聽 reset their passwords and make changes to the聽聽

other accounts. A Standard account can only聽 log into its own account. Both Administrator聽聽

and Standard accounts can add applications and do聽 most of the things you normally do on a Mac. But聽聽

it's a good idea to make every responsible adult聽 who uses your Mac an Administrator so if something聽聽
[88]
happens to one person another person is able to聽 take control of the Mac entirely. However you may聽聽
[93]
want to use a Standard account for anybody else,聽 perhaps a child that you want to setup parental聽聽
[99]
controls and things for. This stops them from聽 being able to override the main system settings.

Now when you create an account聽 you enter your full name聽聽

and then you want to create an account name. You聽 want to keep that short and simple. It's going聽聽
[112]
to be the name of the folder for your user聽 account. It's nearly impossible to change.聽聽

So you just want to keep it really simple. Maybe聽 just use your first name unless you have somebody聽聽
[121]
else in the household that has the same first聽 name. Then you enter a password and verify the聽聽

password. You can also provide a Hint as聽 well. But you should definitely write this聽聽

password down somewhere and store it in a safe聽 place. It's not a password you want to forget.

The thing about User Accounts is that聽 under Users every user account gets its own聽聽

Home Folder. So there's the current one I'm聽 using. But here's another one for another user聽聽

account. If you had four user accounts you聽 would see four different things listed here.聽聽

So every user has their own personal storage聽 space for files, videos, pictures, all of that.聽聽

When somebody is logged in their account they聽 can access their files and make changes to聽聽

their files but they can't access or make changes聽 to your files. In addition settings for apps and聽聽

in System Preferences are specific to the user聽 account. So, for instance, in Safari for each user聽聽

account there's going to be a separate history,聽 a separate set of Bookmarks, a separate set of聽聽

Preferences for exactly how things are setup. Your聽 browser Homepage doesn't need to be the same as聽聽

the browser Homepage for your spouse or for your聽 sibling. Even things like desktop backgrounds,聽聽

Screen Savers and all sorts of customizations聽 will be specific to the user account.

Also, everybody should have their own Apple ID and聽 each User Account can be logged into a separate聽聽

Apple ID. So when you log into your User Account聽 you have access to all of your stuff in iCloud.聽聽

When somebody else logs into their User Account聽 they're logged into their Apple ID and they聽聽
[208]
have access to their stuff in iCloud. So聽 it's like having several different Macs聽聽

but the same computer. You login in聽 your account and everything is setup聽聽

your way. It's your desktop background.聽 It's your Bookmarks. It's your settings.聽聽

It's your email account. It's your Apple聽 ID. Then when somebody else is logged in聽聽

with their account they have all of their聽 own things and don't have access to yours.

Now here you could see that's the current user and聽 I have another user here. Since both are Admins I聽聽

can reset the password of the other person which聽 is handy. You also have an option down here聽聽
[238]
as to whether or not you can get access to聽 a User Account if you forgot the password聽聽

but you know your Apple ID password. Of聽 course that Apple ID is assigned to that聽聽
[246]
account. Now you can also go down to Login聽 Items. This has a lot of useful settings.聽聽

First you've got Automatic Login which should聽 always be turned Off for everybody. You should聽聽
[254]
have to enter your password else your computer聽 is not secured. No matter where your computer聽聽
[258]
is located, how secure it is, you want to聽 make sure that Automatic Login is Off. You聽聽

have to enter a password. Otherwise it's like聽 leaving the front door of your house wide open.

Also on this screen you've got the very important聽 Show fast user switching. Turn that On. Then you聽聽
[272]
get this little menu up here. You can set it聽 to Icon, Full Name, or Account Name. When you聽聽

click here you can use Fast User Switching. Fast聽 User Switching is a great feature if you have聽聽
[283]
multiple User Accounts because what it allows聽 you to do is switch to another account without聽聽
[289]
logging out of the first one. Person A could聽 be logged in, could be in the middle of writing聽聽
[293]
a document. They've got a Pages window open.聽 They've got Safari open. They're right in the聽聽
[297]
middle of working. The other person could sit聽 down, switch User Accounts, check their email,聽聽
[302]
and then the first person can come back, switch聽 back, and everything is just as they left it.

Another option to consider is Guest User. That's聽 handy if a visitor comes over and wants to use聽聽
[312]
your Mac. They can then go from the Login screen聽 to login as a Guest user. This creates a brand new聽聽

account on the fly. They can do what they want.聽 They can check their email. They can surf the web.聽聽

They can save files, edit things. But they only聽 have access to this special user account that's聽聽
[327]
there temporarily. They don't have access to your聽 stuff. Then when they log out when they're done it聽聽

deletes that account completely. It erases it like聽 it was never there. Now the problem with Guest聽聽
[337]
User Accounts is if you're using a Fire Vault then聽 guest users really aren't allowed. So instead,聽聽
[342]
if you're using Fire Vault, which you should聽 if you have a portable Mac that leaves your聽聽
[346]
house or office, then what you would want to聽 do is if a guest really wanted to use your Mac,聽聽
[351]
say they really had no other option except to聽 use your computer, is that you would go in here聽聽
[355]
and just quickly create a Standard account for聽 them. Allow them to use that Standard account聽聽

and once they're done then you can remove that聽 account. You should never let another person,聽聽
[367]
no matter how much you trust them, use your聽 account. It's not a matter of trust you see.聽聽

It could be just a simple mistake that they聽 make that deletes files, that changes some聽聽
[375]
sort of important setting or preference for you.聽 Even things like your Browser history or websites聽聽

that you're automatically logged into or can聽 easily access using passwords stored in Safari,聽聽

you don't want anybody to access聽 no matter how much you trust them.

Now besides having multiple people using the same聽 Mac another reason to have a separate account is聽聽
[395]
if you're in a situation like I am where I create聽 a demo account to be able to create tutorials for聽聽
[400]
you but you don't have to see all of my stuff. You聽 can see everything setup in basically a typical聽聽
[405]
default account. Other people may want to use聽 it as a demo account to test things out. Maybe聽聽
[410]
even an account to use when making presentations聽 especially if the presentations involve showing聽聽
[414]
different parts of macOS. Also keep in mind that聽 if another family member primarily uses an iPhone聽聽
[419]
or an iPad and they don't really use the Mac you聽 may still want to give them a user account on your聽聽
[424]
Mac so they can get Mac specific things done once聽 in awhile whenever they need to. They can access聽聽
[430]
all of the same information they have stored in聽 iCloud on those other devices when they log into聽聽

the account on your Mac. While they're not logged聽 in it's not really getting in your way at all.

So the bottomline is that every person that聽 uses your Mac should have their own user account聽聽

and be logged into their own Apple ID on that user聽 account. A handy thing to know is that if you buy聽聽
[449]
an app with your user account it's available to聽 other users on that Mac as well. So you don't聽聽
[454]
have to purchase the app twice. But in addition聽 to that if you use Apple's Family Sharing between聽聽
[459]
your Apple ID's you could share other things聽 like music, movies, subscriptions and so on.
